Summary:
Responsible for the support of the staff and attorneys within assigned Practice Group or Office and provides auxiliary support to the other Practice Groups and Administration when called upon. Joins the practice as an integral member of the group assisting in the management of day-to-day activities with efficiency and accuracy.
Essential Duties and Responsibilities:
“Essential functions” are primarily job duties that incumbents must be able to perform unassisted or with some reasonable accommodation made by the employer.
- Performs critical support functions for industry-leading Attorneys, Paralegals and Legal Administrative Assistants in a variety of practice specialties.
- Assists in the preparation of client documents, including formatting and proofreading documents.
- Performs the process of opening new client files, manages the retention of client files and maintains the repository system for files in the Corporate Practice Group.
- Trains on certain research methods and conducts legal research for attorneys as needed.
- Updates and maintains databases such as mailing lists, contact lists and client information for the Corporate Practice Group.
- Performs a variety of general, administrative and clerical office duties for the Corporate Practice Group through use of standard office equipment.
- Cross-trains and assists in other Administrative areas, including Client and Conference Services and Office Services.
- Maintains strict confidentiality in all client and firm matters.
- All other support duties as may be assigned.
Knowledge, Skills and Abilities:
- Associate’s degree required.
- Minimum of one to two years of administrative assistant experience or other relevant work experience required.
- Demonstrates a professional demeanor and attitude in appearance and behavior. Works effectively with other departments to solve business problems.
- Proficiency in current versions of Windows and the Microsoft Office Suite of products required; experience with document management systems (iManage) highly preferred.
- Possesses strong interpersonal skills including written and verbal communications with all levels of the Firm.
- Strong attention to detail. Ability to proofread and perform minor editing of material for grammatical, typographical, punctuation or spelling errors.
- Ability to organize and prioritize numerous tasks and complete them under time constraints.
- Work occasionally requires a high level of mental effort when performing high volumes of tasks.
- Work occasionally may require more than 40 hours per week.
