Welcome to the City of Box Elder, the "Gateway to the Black Hills" of South Dakota and home to Ellsworth Air Force Base. Our city is growing, and we have an opening for a talented individual to join our team in the Police Department as an Administrative Specialist. This person would become part of a dynamic, engaging team that values the contributions made by its employees and encourages professional development.

The Administrative Specialist is responsible for providing administrative support and excellent customer service for the Box Elder Police Department. You will be acting as the ambassador for the department by being the first person the public will encounter at the front desk. Attention to detail is also important in this role, as you will be handling and forwarding sensitive information on a routine basis. You should possess the ability to multi-task and be flexible with interruptions, as the work environment can be fast-paced based on the needs of the day.

Essential Functions- Duties may include but are not limited to the following:

  • Responsible for and able to screen incoming correspondence by answering incoming telephone calls, routing calls to appropriate staff, taking messages or answering inquiries, greeting customers, answering routine questions and complaints, and refer others to appropriate personnel.
  • Retrieve and review incoming mail and materials and determine the appropriate distribution; prepare outgoing mail.
  • Able to keep and verify records by entering new or updated data onto forms or computers; Organizes, maintains and reviews files, forms, correspondence, and reports for accuracy and correct information.
  • Keeps accurate inventory of supplies, equipment, and properties.
  • Ability to operate all office equipment and able to type minutes, letters, reports, agendas, correspondence, bids, schedules, rosters, forms, mailouts, manuals, certificates of appreciation, transcribe letters, reports, statistics and other information per department policies and procedures.
  • Organizes and maintains an accurate filing system for correspondence, timesheets, forms, and report records.
  • Reviews files, forms or reports for accuracy to determine whether they are complete or if calculations are correct.
  • Performs data entry and necessary bookkeeping/accounting duties.
  • Works directly with the public and co-workers and tactfully handles questions, concerns or complaints properly.
  • Oversees BEPD website as Administrator.

What We Are Looking For:

  • High School Diploma or equivalent required for this position. A college degree or current coursework is desirable. At least three (3) years of increasingly responsible clerical and administrative experience involving frequent public contact, customer service, public relations, communication, and accounting experience, preferably with a government entity, is desirable.
  • Someone with established proficiency utilizing Microsoft Office Suite or similar software.
  • Inquisitiveness, reliability, and a positive attitude are highly valued in this position.
  • Experience in law enforcement or as a first responder would be beneficial.
  • Discretion, integrity, and a commitment to upholding the highest ethical standards.

Required Certificates, Licenses, and Registrations:

Continued employment is contingent upon all required licenses and certificates being maintained in active status without suspension or revocation.

  • Valid driver's license.
