Summary of Role:

This is a support role, requiring the Office Coordinator (OC) to assist the account teams by providing basic administrative and support functions in the team’s day-to-day servicing of clients. The OC may gather and input data into the agency management system and assist with various tasks. You will participate in special projects as assigned by management and will be trained by the team for your learning and development. Another responsibility of the OC is to make sure that each visitor feels welcomed and comfortable. The OC is the first person that a visitor encounters and this requires having a courteous, professional and helpful demeanor. In addition, the OC contributes to the security of the office by helping to monitor the access of visitors.

Recent college graduates and those interested in growing or establishing their career in the areas of Insurance admin/ops and client servicing will find this an excellent opportunity and will be supported for additional career growth.

This is a full-time role working M-F from our Chincoteague, VA office (this is required). Duties and responsibilities will be commensurate with experience. Must have reliable transportation to work the required work hours and overtime when needed.

Essential Duties and Responsibilities:

  • Greet all NFP visitors.
  • Answer all incoming calls. Always speak clearly with professionalism and courtesy. Be respectful and professional.
  • Screen calls to limit solicitors from accessing staff. Do not provide names and/or extensions of NFP employees to solicitors.
  • Maintain a professional appearance (clothing, hair, shoes, etc…).
  • Follow NFP Employee Handbook and Code of Business Ethics guidelines.
  • May be the first line of answering billing questions from clients and navigating carrier websites when necessary.
  • Assist in processing non-premium endorsements, and follow up with carriers when requested.
  • Assist Account Managers and senior management when required.
  • Call courier service when requested.
  • Ability to periodically work extended hours.
  • Deliver mail and packages daily.
  • Ordering office supplies through approved vendors when requested.
  • Post daily USPS mail delivery and mailings.
  • Other duties as assigned.

Knowledge, Skills, and/or Abilities:

  • Highly organized with excellent verbal and written communication skills
  • Self-confident to make sound independent decisions
  • Ability to successfully interact with a variety of people and function well in both in a team environment and autonomously
  • Ability to handle situations in a calm, courteous and professional manner
  • Be customer-focused to establish and maintain effective relationships
  • Intermediate level of experience in Microsoft Office products, specifically Word, Excel and Outlook
  • Ability to prioritize multiple tasks to meet deadlines
  • Possess strong analytical and problem-solving skills
  • Sharp attention to detail, decision-making skills, and problem-resolution
  • Flexibility and adaptability to changing priorities, deadlines and technology
  • Effective organizational skills – keeps work area organized
  • Ability to work with minimal supervision

Education and/or Experience:

  • High School Diploma or GED required. Additional education or training is preferred
  • More than 1 year of client service, administration and/or industry and product line experience preferred
  • Must also have basic desktop computer skills including but not limited to Microsoft Outlook, Microsoft Excel and Microsoft Word
  • Experience with EPIC software or other client/data management system
