Position Summary
Responsible for a variety of maintenance and administrative duties performed with a high level of professionalism and excellent attention to detail in support of the Chief People Officer and People Operations department. Must multi-task and work well under pressure with constantly changing priorities. Performs duties in compliance with regulatory requirements including, but not limited to, the Bank Secrecy Act.

ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES
60% - Administrative Support:
  • Organize and maintain the Chief People Officer's calendar, complete and approve expense reports, draft acknowledgement letters, personal correspondence, and arrange detailed travel plans and itineraries.
  • Work closely with the Chief People Officer to keep them well-informed of upcoming commitments and responsibilities, anticipating expectations and standards.
  • Liaise with People Operations staff to prepare data analysis on people experience trends and other critical topics, aiding decision-making processes.

30% - People Experience:
  • Collaborate with the Communications & Experience Manager to support company events, ensuring smooth coordination and communication.
  • Partner with People Operations staff to assist with New Employee Welcome sessions, benefit meetings, and ensure a seamless onboarding experience for new hires.
  • Develop and implement employee engagement and culture initiatives in collaboration with the Director of People Operations and the People Communications and Experience Manager.

10% - Department Support:
  • Assist with various departmental tasks including ordering flowers and employee gifts, providing office and phone coverage, managing supply inventory, and coordinating mass mailings and distribution of labor law signage.

MINIMUM QUALIFICATIONS
EducationalRequirements:A two-year college degree or completion of a specialized course of study at a business trade school
High School Diploma or GED required
Years of experience may substitute for education
Certificates/Licenses: Must have and maintain a valid driver's license
Must have a clean driving record; an annual MVR will be pulled to ensure compliance
EXPERIENCE
Experience in administrative office support required: 2-5 years, intermediate

Job Knowledge
  • 2-3 years of work experience, including 2 years of administrative assistant experience.
  • Proficiency in Microsoft Office products, including Outlook, and a willingness to learn new software.

Working Conditions
Routinely perform work indoors in climate-controlled shared work area with a moderate level of noise
Occasional travel or perform work outdoors in sometimes inclement weather

Must be able to read and carry out various complicated written and oral instructions. Must be able to speak clearly and deliver information in a logical and understandable sequence.
