Job Description
As a People Operations Coordinator, you will serve as a key point of contact for staff, ensuring effective communication, smooth operations, and a positive employee experience. You will play a vital role in onboarding new employees, managing client intake meetings, scheduling client and staff meetings, conducting periodic on-site visits to clients (as needed), hosting employee meetings and check-ins, and facilitating various communications to keep our staff informed and engaged.
Key Responsibilities
- Employee Onboarding: Oversee the onboarding process for new employees, including coordinating orientation sessions, preparing onboarding materials, and ensuring a seamless transition into the organization.
- Client Intake Meetings: Coordinate and facilitate client intake meetings, gathering necessary information and ensuring clear communication between clients and the management team.
- Scheduling: Manage schedules for both internal meetings and external client visits, optimizing time and resources efficiently.
- On-site Client Visits: Conduct periodic on-site visits to clients as needed, providing support, addressing concerns, and building strong relationships.
- Employee Meetings and Check-ins: Host regular employee meetings, both group sessions and one-on-one check-ins, to discuss updates, address concerns, and provide support as needed.
- Communication: Send timely and relevant communications to staff, including reminders, follow-ups, recognition, and other important announcements.
- Administrative Support: Provide administrative support to the management team as needed, including document preparation, data entry, and other tasks to ensure smooth operations.
Qualifications
- Bachelor’s degree in Human Resources, Business Administration, or related field preferred.
- Previous experience in a coordinator or similar role, preferably in a client-facing environment.
- Strong communication and interpersonal skills, with the ability to build rapport and foster positive relationships with both internal and external stakeholders.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively and meet deadlines.
- Flexibility to travel for on-site client visits in New York City, as needed.
- Proficiency in MS Office Suite and other relevant software applications.
- Ability to maintain confidentiality and handle sensitive information with discretion.
