POSITION SUMMARY

The Pendergrass Library Evening Supervisor is responsible for managing library Public Services and the facility during the evenings and all day on Sunday, largely during hours in which they will be the sole faculty or staff person working in Pendergrass. This position supports the University's educational, research, and outreach goals by providing excellent customer service at service points within the UT Libraries with tasks including: providing research assistance and assisting users with all types of questions; providing access to materials in all formats, including equipment; fulfilling patron requests; troubleshooting and resolving patron problems; supporting patrons' use of technology, such as large format and 3D printing; and enforcing and explaining policy. This includes a high level of decision-making related to the implementation and interpretation of library policies and procedures, including security and student safety. This individual must communicate effectively with UT faculty, staff, students, and the public, as well as with UT Libraries and campus partners. This position is accountable for providing work direction to those staffing the public service areas to ensure accurate and excellent customer service. The Evening Supervisor is the primary supervisor of the Pendergrass Library Student Library Assistants (SLAs) and, as such, leads efforts to hire and train them, collaborating with the daytime supervisor on all aspects of SLA work and supervision. Additionally, the Evening Supervisor oversees work in the Pendergrass collection, including shifting, weeding, and general stacks maintenance. This position also helps lead engagement activities, including Destress for Success.

The Evening Supervisor will regularly work Sunday - Thursday, 1:00 - 10:00 PM, but may occasionally work outside normally scheduled hours to ensure library coverage and accommodate the academic calendar.

RESPONSIBILITIES

  • Library and Customer Services
    • Works 1:00 - 10:00 PM, Sunday - Thursday, which includes closing the library
    • Provides in-person and online research assistance to all patrons, including faculty, staff, graduate students, undergraduate students, and members of the general public by analyzing users' information needs, determining appropriate library resources to use, and designing research strategies to meet those needs
    • Circulates library materials and technologies including, but not limited to, assistance with selection and location, checking out and renewing, adjusting loan periods as needed, placing holds, explaining policies, and inspecting and processing returns
    • Manages patron library accounts, including but not limited to adding and collecting library fines and fees and placing and updating requests
    • Provides technology support to all patrons
    • Interprets library and university policies, procedures, and regulations to staff and patrons, using judgment to create exceptions as appropriate; mediates and resolves conflicts
    • Manages fulfillment of interlibrary loan, scan on demand, and library express requests
    • Manages fulfillment of large format printing requests, including consulting with patrons about large format printing and design
    • Engages in 3D printing services, including consulting with patrons, operating 3D equipment, and staying abreast of Pendergrass technology, policies, and procedures as they relate to 3D printing
    • Oversees the facility during evening and Sunday hours, ensuring it is safe, secure, and clean and liaises with appropriate campus partners on facility, security, and service issues
  • Manage Student Library Assistants (SLAs)
    • Hires, supervises, and trains SLAs to provide front-line support in Public Services, collection logistics, and large format printing
    • Ensures their tasks are completed accurately, policies and practices are followed, and service expectations are met
    • Creates, reviews, and administers regular SLA training and documentation and works to maximize their effectiveness through consultation with other library faculty and staff
    • Creates the weekly SLA schedule and communicates changes, as needed
    • Ensures accurate time reporting/keeping and payroll for SLAs
    • Responsible for monitoring SLA budget and ensuring budget is on target
    • Develops internal SLA policies and practices and maintains documentation thereof
    • With Director of Pendergrass Library and Daytime Supervisor, evaluates and assesses SLA needs and develops plans for SLA utilization and budget for each year
  • Collection Logistics
    • In consultation with Libraries colleagues, especially Pendergrass Library Director and liaison librarians, this position leads work on the ground to ensure the physical collection is neat, accessible, and accurate. This work includes but is not limited to
      • Inventorying the collection
      • Shelf reading
      • Shifting
      • Deaccessioning materials
      • Completion of basic cataloging tasks
      • Communicating with colleagues throughout the Libraries on collections work
    • Manages SLAs in the above-mentioned work and in regular shelving, searching, and other collections work
  • Library and Departmental Activities
    • Plans and executes Destress for Success, in collaboration with UT Libraries colleagues
    • Conceives and plans other engagement activities, including ideation, execution, and assessment
    • Manages aspects of the Pendergrass Seed Library, including stock and inventory and seed sorting
    • Assists in development of reports and assessment and unit documentation as needed
    • Pursue growth, engagement, and library improvement in diversity, equity, inclusion, and accessibility
    • Grow and develop skills in areas of job responsibility and library need
    • Actively contributes to departmental activities, including team meetings, departmental planning, and other Pendergrass, UT Libraries, and University committees and initiatives
    • Participates in Libraries' Public Services Group, recommending changes, as needed, to policies, procedures, and workflows to meet the evolving service needs of the University Libraries
    • Regularly works Sunday - Thursday, 1:00 - 10:00 PM, but may occasionally need to work outside of normally scheduled hours to ensure library coverage and accommodate the academic calendar
    • Other duties as assigned

QUALIFICATIONS

  • Required
    • High school diploma or GED
    • Library experience or 2 years of work with the public
    • Demonstrated commitment to valuing diversity and contributing to an inclusive working and learning environment

    • Ability to make sound decisions and solve problems with creativity and flexibility

    • Effective applied customer service skills, including good negotiation and mediation skills
    • Ability and willingness to learn new technologies, tasks, and procedures
    • Knowledge of Windows and Mac operating systems and familiarity with MS Office applications
    • Ability to learn integrated library systems
    • Knowledge of research methods and tools, such as online databases, web-based resources, and other reference sources
  • Preferred
    • Bachelor's degree
    • Supervisory experience
    • Experience working with library collections
    • Knowledge and skills in information-based technology related to research and student learning
    • Knowledge of integrated library systems, Ex Libris Alma preferred
    • Knowledge of basic cataloging principles
    • Knowledge of collection logistics practices
    • Skill in providing tech support
