Job description

SUMMARY: Responsible for processing bi-weekly payroll and assisting with or administering employee benefits including enrollment and payments for health and retirement plans, as well as providing support to the Chief Financial Officer (CFO) and Accounting Department along with other duties as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:

Processes complete bi-weekly payrolls through payroll service from reviewing timecards for accuracy and missing times, confirming paid time off and benefit deductions through required reports.

Responsible for verifying HR data and changes within the payroll and various benefits systems, reviewing and paying invoices for payroll and benefits such as health insurances, workers compensation and pensions,

Provides new hire and benefit enrollment information to employees upon hiring or rehiring or during open enrollment periods and responds to inquiries regarding payroll or benefits from employees or various benefit vendors.

Maintains all payroll and benefit information in an orderly manner for the required legal time periods.

Assists HR Manager, CFO or other Managers with various payroll, benefit or accounting reports such as bi-weekly Overtime Report, monthly Union pension and health insurance reports, monthly Workers Compensation reports for premium payments, etc, or for memos, research, audits, etc..

Responsible for creating and posting all payroll and benefit General Ledger entries as well as reconciliation of all payroll and benefit related accounts.

Trains on various accounting tasks such as posting daily lockbox, credit card or cash payments from the stores or as a backup for additional accounting duties such as invoicing.

Responsible for assisting with the annual fiscal year end audit as well as performing annual duties such as reviewing W-2’s, ACA verifications, wage increases, Group Term Life changes, PUCC calculations, memos for the union pension calculations, OSHA Headcount reporting and spreadsheets for the Non-Discrimination Testing for benefits.

Others duties as assigned by management.

EDUCATION and/or EXPERIENCE:

Associate’s degree (A.A.) in Business or a related field or equivalent from two-year college or technical school; or one to two years related experience and/or training; or equivalent combination of education and experience.

COMPUTER SKILLS

To perform this job successfully, an individual should have knowledge of:

Accounting software; Human Resource systems; Internet software; Order processing systems; Payroll systems; Spreadsheet software; Word Processing software.

LANGUAGE SKILLS:

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to employees of the organization. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence.

MATHEMATICAL SKILLS:

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ration, and percent and to draw and interpret bar graphs.

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

None required, payroll certification and/or formalized training and continuous education preferred.

Must be detail oriented and possess the ability to perform large quantity of data entry with high level of accuracy.

Must be available to work overtime if needed; time off may be limited due to payroll schedule.
