Patient Support Specialist (Phone Operator)

True You Weight Loss is seeking an experienced Patient Support Specialist to work alongside our team of Patient Care Consultants in providing excellent support and service to our existing or prospective patients. Our team is forward-thinking, innovative, and collaborative.

The Patient Support Specialist is responsible for efficiently managing incoming calls and providing excellent customer service. This critical position creates the first impression for prospective patients by greeting and welcoming callers warmly. This involves answering calls promptly, directing calls to the appropriate department or individuals, and assisting callers with any inquiries or requests they may have. Additionally, the Patient Support Specialist will schedule appointments, relay messages, and ensure that all interactions with patients are handled with care and professionalism.

We are seeking an enthusiastic, empathetic person who is genuinely interested in providing exceptional service to our patients and prospective patients in a remote working environment.

Primary Responsibilities

• Answer incoming calls in a timely, professional, and courteous manner
• Provide accurate information to callers and assist with their inquiries
• Schedule appointments and accept payments according to established protocol
• Provide a warm transfer to the appropriate department, individual, or voice mail when appropriate
• Take messages and relay them to the appropriate person if necessary
• Perform data entry tasks to update patient information in the CRM platform
• Maintain phone system and ensure it is functioning properly (e.g. auto-attendant, after hours mode, holiday greeting, etc.)
• Follow phone etiquette guidelines to ensure high-quality customer service. Handle customer complaints or issues with empathy and problem-solving skills.
• Collaborate with other team members to achieve department and company goals
• Perform general administrative tasks as assigned

Experience and Skills Required

• Minimum 2 years of experience operating phone systems (single or multi-line) and updating records in CRM or EMR platform
• High school diploma or equivalent; Associates degree preferred
• Experience greeting patients/clients in a medical clinic, health spa, or health club (or related) over the phone or in person.
• Demonstrated knowledge of customer service etiquette and experience managing patient concerns with patience and empathy
• Proficient in using computer systems and navigating multiple software applications
• Demonstrated strong work ethic. Experience working remotely, preferred.
• Excellent verbal communication skills; clear and articulate speaking voice
• Ability to effectively communicate with customers and colleagues
• Strong attention to detail and accuracy in handling information and task prioritization
• Bilingual abilities (Spanish) preferred

Job Type: Full-time; M-F 8:00am-5:00pm EST

Pay: $18.00 - $20.00 per hour based on experience
