Summary:
Responsible for performing a variety of secretarial duties for physicians and other members of the office.
Essential Functions:
- Answers telephone, screen calls, takes messages and provides information.
- Greets, screens, schedules, and directs patients.
- Prepares and processes correspondence. Answers routine medical inquiries and drafts letters.
- Obtains, verifies, and updates patient information and provides support services to patients and medical staff.
- Requests, locates, sends, and received patients’ medical records.
- Maintains appointments for patients.
- Prepares electronic patient charts.
- Maintains electronic patient files and assists in establishing office systems.
- Orders office and clinical supplies. Assists in the care and maintenance of office equipment.
- Maintains the strictest confidentiality.
Knowledge, Skills, and Abilities:
- Knowledge of medical terminology and office procedures.
- Knowledge of grammar, spelling, and punctuation to type from draft copy, review, and edit reports, and correspondence.
- Knowledge of basic arithmetic to make calculations, balance and reconcile figures, and make changes accurately.
- Skill in operating a computer, telephone, and copy machine.
- Ability to type 50 wpm.
- Ability to read, understand, and follow oral, and written instruction.
- Ability to sort and file materials correctly by alphabetic or numeric systems.
- Ability to communicate clearly and concisely.
- Ability to establish and maintain effective working relationships with patients, employees, and the public.
Minimum Qualifications:
- High School Diploma or equivalent
- Excellent interpersonal communication skills
- Ability to work independently and demonstrate initiative and flexibility within a team environment.
Physical Requirements/Typical Working Conditions:
Environment: Primarily a temperature-controlled facility.
- Work may require prolonged standing, some bending, stooping, and stretching.
- Requires eye-hand coordination and manual dexterity sufficient to operate clinical testing equipment, a keyboard, mouse, and standard office equipment.
- Requires normal range of hearing and eyesight to communicate in person, by phone, or over video.
- Requires occasional lifting of papers or boxes up to 30 pounds.
Essential Physical Tasks:
- Sight – sufficient to read physical documents, and images on a computer monitor.
- Smell – sufficient to discern smoke/something burning, and other odors.
- Hear – sufficient to hold face to face/telephone/video call conversations, and to discern other ambient noises.
- Touch – sufficient to operate keyboard, mouse, other standard office equipment, and writing implements.
- Physical ability/strength – sufficient to lift, twist, turn, reach, climb, kneel, squat, sit, walk, stand, bend as needed throughout a standard shift.
