Job Summary and Scope
Greet, check in and register patients that come into ambulatory clinics. Obtain, verify and update all demographic, insurance, and personal information for each patient. Schedule appointments as needed. Assist patients and family members with needs during the time they are arriving and waiting for clinic visits. Assure all patient requests are delegated and streamlined to the appropriate parties.
Essential Functions:
  • POLICIES AND PROCEDURES - Maintain established departmental policies and procedures, objectives, and quality assurance programs
  • PROFESSIONAL DEVELOPMENT - Enhance professional growth and development through participation in educational programs, reading current literature, attending in-services, meetings and workshops.
  • Greet and communicate with all patients and family members who enter ambulatory clinics.
  • Register and check in patients for clinic visits.
  • Operate and maintain computers, copy/facsimile machinery.
  • Receive and document patient referrals into the electronic health record.
  • Communicate effectively with all staff, patients, family members, and visitors.
  • Communicate relevant visit information to patients upon check in.
  • Answer phones and assist callers with needs.
  • Assist patients, providers, medical assistants, and nurses with scheduling future visits.
  • Collect patient copays and document in appropriate system.
  • Maintain a cash drawer with a high level of accuracy and professionalism; records transactions and keeps a running balance on assigned daily funds.
  • Balance daily charge tickets against schedule to assure accurate billing.
  • Responsible for daily monitoring of electronic reminder call reports for assigned area and making calls to patients for any failed reminders.
  • Demonstrate high level of professionalism and privacy for all patients in clinic.
  • Provide back up to other team members when needed.
  • Perform miscellaneous job-related duties as assigned.

Communication Skills
  • Contacts are normally made within UNM-Sandoval Regional Medical Center.
  • Contacts are usually with own department staff and own supervisor.
  • Contacts contain some discussion about confidential/sensitive matters.
  • Contacts are in 98% in person with patients.

Required Qualifications
  • Ability to utilize basic office equipment: i.e. computer, phone, copier, facsimile
  • Strong interpersonal communication skills
  • Ability to work well under pressure with minimal supervision

Education/Experience
Education: High School Diploma or GED Equivalent
Work Experience: Two (2) years in a Medical Office or Administrative Role
Conditions of Employment
  • Must pass a pre-employment criminal background check, reference checks and a post offer drug screen.
  • Must be employment eligible as verified by the U.S. Dept. of Health and Human Services Office of Inspector General (OIG) and the Government Services Administration (GSA).
  • Tuberculin Skin Test required annually
  • Hospital required vaccinations
  • Hospital required competencies

Working Conditions
  • Typical office and/or patient care, acute care hospital environment.
  • Must be able to travel locally between facilities and within the surrounding community.
  • Occasional exposure to minimal physical risk
