Patient Access Supervisor Summary:

The Patient Access Supervisor performs personnel and administrative functions for the Patient Access team, ensuring excellent customer service and accuracy in appointment scheduling and check-in, message taking, referral processing, and the collection and posting of payments. Works collaboratively to ensure information is shared, staffing needs are met and patient experience is seamless throughout the Patient Access team. The Patient Access Supervisor may act as a Patient Access Representative.

Patient Access Supervisor Qualifications:

  • High School diploma or equivalent
  • Two years reception/office experience in a medical setting, including customer service
  • Two years supervisory or leadership experience preferred
  • Knowledge or experience with health plans and third-party payers
  • Prior Epic experience highly preferred

Patient Access Supervisor Responsibilities:

  • Plans, coordinates, supervises, and directs work of the Patient Access team to ensure the delivery of quality customer service and patient care. Monitors daily activity of team to ensure proper utilization of staff.
  • Schedules staff, reviews and responds to time off requests, schedule change requests, and monitors employee use of earned time. Reviews and approves employee timesheets daily.
  • Serves as point of contact for patient questions/concerns/complaints and assists with research and/or resolution. Assists in deescalating tense interactions. Identifies when issue requires escalation to management.
  • Participates in interviewing and hiring of new staff. Oversees orientation and training of new staff. Responsible for development and maintenance of training plans and material for new and existing staff.
  • In conjunction with the Business Operations Manager develops Patient Access policies, procedures, and workflows ensuring that staff learns, understands, and follows guidelines. Creates, maintains, and provides training materials.
