Patent Administrator
The Patent Administrator, or Intellectual Property Legal Assistant, plays a critical role in the monitoring of U.S. and foreign patent applications through the entire prosecution cycle, from invention disclosure to payment of maintenance of granted patents. The duties of this position include working closely with client internal and external IP counsel to ensure strategic filing and prosecution of patent applications under minimum attorney supervision.
The successful candidate will possess the ability to work efficiently and independently; be empowered to manage high volumes of tasks and projects; react with appropriate urgency to situations and events that require a quick response or turnaround; and think creatively and be proactive in solving problems that affect people within the group or other related groups. The candidate will also be client-service oriented, have great attention to detail coupled with the ability to meet tight deadlines, have great organization skills and have the ability to easily switch gears. A high level of professionalism, integrity, and discretion in handling confidential information, as well as the ability to work well with people at all levels inside and outside the company is essential.

Responsibilities
- Act as a liaison between outside counsel and in-house attorneys
- Create strategic filing plan using IP asset workflow solutions
- Liaise with inventors and outside counsel on patent application filings and status
- Tracking outside counsel workflow, alerting in-house counsel of any urgent issues and tracking/managing IP database records
- Additional point of contact for employees on all IP matters
- Provide reports on the status of Office Actions or upcoming examination or filing deadlines
- Assist with data correction and data auditing in docketing system
- Monitoring outside counsel paralegal quality using internal docketing system to ensure all upcoming deadlines are handled well in advance
- E-filing U.S. and PCT patent applications
Qualifications
- BA or BS in a relevant field
- Strong attention to detail with a proven ability to handle confidential matters with a high focus on discretion and confidentiality
- Ability to work as part of a team
- Advanced skills in Microsoft Office suite such as drafting correspondence and legal documents in Microsoft Word; proficiency in Excel and PowerPoint a plus
- Strong organizational skills, including organizing and maintaining physical and electronic legal files
- Proficiency in SharePoint a plus
- Litigation and/or trademark experience a plus
- Familiarity with outside counsel payables management systems (e.g., Serengeti) a plus
- Experience in a corporate law department or law firm environment is preferred
- Experience in intellectual property, particularly patent filings and docketing systems, strongly preferred
- Hands-on experience with one or more IP asset/workflow management solutions, such as Anaqua, Foundation IP, Memotech, Lecorpio, CPi, etc., a plus.

Salary Range
The salary range for this role reflects the range of factors that inform case-by-case compensation decisions including education, experience, training, licensure, certification, and geography as well as the business and organizational needs specific to the role. Compensation ranges may be broad, reflecting flexibility within the budget and title to consider candidates of varied experience. A reasonable estimate of the current compensation range for this role is $26.00 to $30.00 / hour.
