Job Summary/Purpose

The Parts and Warranty Coordinator is responsible for managing our system-wide fleet Parts and Warranty program for various manufacturers.  The successful candidate will support 5 maintenance supervisors, 5 operations coordinators and 60+ mechanics over 4 states.  This position will work to standardize parts acquisitions, find opportunities to reduce parts costs and manage a parts hub for remote locations.  Additionally, this position will oversee the warranty program with the goal of maximizing warranty claims for multiple manufacturers.  This responsibility requires close collaboration with technicians, supervisors, and operations coordinators to accurately document and expedite warranty claims.  It will also require working with the OEMs to align with their claim processing requirements.

 

In scenarios such as major storms and incidents, your oversight is critical in managing parts procurement and ensuring vendors deliver promptly to affected locations.

 

Job Duties/Responsibilities

 

**Parts**

 

  • Address and resolve parts procurement challenges while maintaining repair efficiency.
  • Oversee the installation and management of parts hub inventories at remote locations.
  • Coordinate and optimize bulk purchases according to specific location needs.
  • Develop customized inventories for each site based on unique requirements.
  • Manage parts procurement during critical incidents, ensuring structured vendor delivery plans.
  • Strategize to achieve cost reductions in parts procurement.
  • Lead and refine procedures for parts project management.
  • Conduct regular vendor meetings.
  • Collaborate with supervisory and quality control teams for efficient parts management.
  • Establish and maintain a consignment contract with Altec.
  • Develop strategies to enhance customer satisfaction.

 

**Warranty:**

 

  • Manage and process warranty claims efficiently, ensuring completeness and accuracy.
  • Validate the legitimacy of warranty claims, ensuring adherence to agreements and policies.
  • Thoroughly document and promptly process all warranty and recall claims, meeting manufacturer criteria.
  • Collaborate with technicians to align warranty claims with manufacturer guidelines.
  • Handle warranty claims for various manufacturers, including but not limited to Ford, Freightliner, GM, and others.

Minimum Requirements

Minimum education required of the position

  • Bachelor’s degree in business or related field or equivalent work experience

 

Minimum experience required of the position

  • Minimum of 3 years in customer service, administrative support, or a related field.
  • Preferred: 3-5 years' experience in the automotive repair industry.

 

Minimum knowledge, skills, and abilities required of the position

  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel).
  • Effectively manage and prioritize various time-sensitive projects.
  • Ability to work independently with minimal direction and strong team collaboration skills.
  • Proficient in managing multiple projects, vendors, and chassis manufacturers.
  • Robust analytical skills (Excel, Power BI, etc)
  • Experience in customer service.
  • Knowledge of fleet operations and automotive systems.
  • Broad equipment experience.
