This is an onsite position in our River North office, working Tuesdays, Wednesdays, and Thursdays, approximately 4 hours each day.
Working under the direction of the office of the CEO, this part-time role is essential in maintaining a first-class office environment. You will be the office hero by keeping the employee snack bins full, ensuring the coffee and water machines are always working, and keeping the office looking its best. You will manage the front desk area with a focus on delivering exceptional customer service to visitors and employees and assist with various administrative tasks to ensure smooth operations within the office. - Greet and welcome visitors and employees in a courteous and professional manner.
- Answer incoming calls, screen, and direct calls to appropriate individuals, and take messages as needed.
- Manage the front desk area, ensuring it is tidy and organized.
- Assist with administrative tasks such as data entry, filing, photocopying, and scanning documents as needed.
- Oversee incoming and outgoing mail, packages, and deliveries.
- Maintain office supplies inventory and place orders when necessary.
- Maintain office snacks and beverages and place orders when necessary.
- Clean and organize the employee break room, ensuring it remains tidy and always welcoming.
- Regularly inspect and maintain appliances in the kitchen and kitchenette, including refrigerators, microwaves, dishwashers, and coffee machines, to ensure they are clean and in working order.
- Oversee vendors performing services in the office, including maintenance and janitorial.
- Manage the 350NO visitor portal.
- Place catering orders as needed.
- Coordinate and/or assist with all on-site events, including All-Hands meetings.
- Ensure conference rooms are clean and all A/V equipment is in working order.
skills you bring to the field
- High school diploma or equivalent; additional education or training in office administration is a plus.
- Proven experience as a receptionist, office administrator, or similar role.
- Excellent verbal and written communication skills.
- Strong people skills and a friendly, outgoing demeanor.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic computer skills.
- Ability to prioritize tasks and manage time effectively.
- Attention to detail and accuracy in all aspects of work.
- Professional appearance and demeanor.
- Ability to maintain a cheerful outlook and work well independently as well as part of a team.
