FRONT OFFICE COORDINATOR POSITION
We are currently seeking a Front Office Coordinator to join our growing team! We are in search of a meticulous, reliable professional that is courteous and works well with others, experience in a cosmetic aesthetic practice is preferable. The position is currently open for Part Time hours with potential to extend to full time hours.
Professional Skills and Requirements:
- High School Diploma / GED / College graduate
- Minimum of one-year front desk or receptionist experience
- Detail oriented and organized
- Flexibility to work changing shifts and occasional Saturday’s
- Clear and effective communication skills
- Ability to efficiently multi-task in a fast-paced environment
- Competent computer skills and researching skills
- Independent, motivated self-starter with timely execution of responsibilities
- Reliable and punctual
- Comply with HIPAA / OSHA protocols
Responsibilities:

- Maintain Providers Schedules and Meetings
- Maintain Office Harmony by Resolving Patient Issues & Timeliness of Providers
- Maintain HIPAA Certification
- Greet guests warmly and professionally
- Assist guest with registration needs
- Ensure that all fields of guest documents are completed
- Facilitate payments for services
- Take Clear and Concise Phone Messages
- Accept All Resumes and File Appropriately
- Prepare Charts for the Next Business Day
- Maintain Order and File Charts Appropriately
- Create/Prepare New Patient Packets and Charts
- Type Correspondence, Reports, Memos, and Forms as Requested by Providers and/or Administration
- Ensure that Copies of All Registration & Consent Documents are Printed, Filed Appropriately and Available
- Sort Incoming and Outgoing Mail
- Distribute Incoming Correspondence, Reports, and Files in Patient Charts and Notify Provider
- Keep Front Area Neat and Tidy at All Times
- Cross Train to Perform Back Office Duties When Needed
- Maintain Office Inventory and Submit Front Office Supply Order to Administration
- Communicate with Daily Summaries to Directed Individual(s)
- Must Maintain Knowledge of Services and Products
- Maintain Organizational Skills and Multi-tasking Abilities
- Assist Patients with Lost & Found
- Direct Patients & Non-Patients If They are Lost in the Building
- Other Duties as Determined by the Needs of the Company Owner and Administration
