Position Description

Position Title: Parish Secretary/Office Manager

FSLA: Exempt

Job Status: Full Time

Reporting Function: Reports to Pastor

Job Function:

  • To assist the pastor in the carrying out of his leadership and pastoral duties.
  • To serve and assist each parishioner with needs that arise.
  • To facilitate the work of the parish by performing various receptionist and secretarial duties including bookkeeping.

To be the first point of contact with parishioners - to connect with each person and ignite their desire to accomplish the vision and mission of the church. To be able to see Christ in all who are served and treat each person with respect.


Duties and Responsibilities

Bookkeeping - Peachtree Accounting Software a plus

  • Process bi-weekly payroll for the employees of the parish.

  • Oversee recording and accounting of parish income and expenses; prepare all accounts receivable and bank deposits; monthly reconciliation of all bank statements; prepare annual budget and financial reports.

Local Safe Environment Coordinator

Act as the Safe Environment Coordinator for the parish. Ensure that all current and new parish employees and volunteers have the required diocesan and state background checks.


Administrative

  • Perform general secretarial and receptionist duties by answering telephone calls and emails, filing, copying, typing letters, shredding, faxing and greeting visitors.

  • Provide administrative assistance to the Pastor.

  • Coordinate and prepare parish bulk mailings.

  • Schedule Mass Intentions and maintains parish sacramental registries.

  • Update parish database with donations and personal information.

  • Coordinate maintenance repairs with respect to buildings, grounds, and office related phone and computer equipment.

  • Obtain and monitor contracts for yearly services such as preventive maintenance, lawn care, snow removal, pest control, etc. when necessary.

  • Order and maintain inventory of all supplies used by the parish rectory and social hall.

  • Other duties as assigned by the Pastor.

Educational Requirements:

  • Requires a minimum of a high school diploma or equivalent experience.

  • Experience with Microsoft Office Suite, use of general business and office machines, and bookkeeping software.

  • Due to the nature and mission of the Catholic Church, all employees are bound to exhibit respect for the teachings and discipline of the Church regarding matters of faith and morals.

  • Must be able to provide a welcoming atmosphere for visitors, projecting a professional and caring manner.

  • Excellent written and verbal communication skills.

  • Professional interpersonal skills, including listening.

  • Proficient computer skills, including Microsoft Office Suite.

  • Ability to maintain confidentiality a must.

Physical/Visual/Mental Demands:

The employee is regularly required to stand, walk, sit, talk, and hear both in person and by telephone; frequent use of equipment that includes repetitive motions and computer eye fatigue. Occasionally required to reach and lift with hands and arms; stoop, kneel, crouch, or crawl, lift and/or move up to 30 pounds. Vocal communication is required for expressing or exchanging ideas by means of the spoken word; hearing is required to perceive information at normal spoken word levels; visual acuity is required for preparing and analyzing written or computer data, determining the accuracy and thoroughness of work, and observing general surroundings and activities. Requires the use of office equipment including telephone, personal computer, keyboard, copier and fax machines. Must have some website and social media skills.


Working Conditions:

Work is performed in an office environment. Substantial amount of interaction with co-workers and visitors. Normal work hours will be Monday, Tuesday, and Thursday from 9:00 to 5:00pm and Wednesday from 9:00 to 3:30pm and Friday from 9:00 to 4:00pm, with a ½ hour unpaid lunch break.

  • Child Protective Services Law signed acknowledgement
  • Motor Vehicle Report - if driving for the diocese
