Job purpose

This is the job description for the position of Parish Secretary for St. Joseph Catholic Church, Aston, PA. The Parish Secretary is responsible for the daily operations of the parish office.


Duties and responsibilities

Scope of the Position


  • The hours are Monday through Thursday 8:30 AM t0 4:30PM and Friday 8:30 to 12 Noon (35.5 hours per week with one half hour for lunch).
  • The office is closed for major holidays (about 10 per year).
  • Minimal evening or weekend hours may be expected; with on call availability for emergencies.
  • An employment agreement with vacation and sick days shall be established in writing upon acceptance of employment. Salary commensurate with work experience.

Responsibilities (include some or all of the following):


  • Greeting visitors and responding to general questions
  • Provide administrative assistance to the Pastor
  • Mail distribution
  • Administrate parish SCRIPT program
  • Parish Mass mailings
  • Answering the telephone and email and recording and relaying messages
  • Maintaining parish calendar, schedule appointments and use of parish facilities; scheduling of ministers for liturgical celebrations
  • Word processing all correspondence, reports, memos, etc.
  • Typing certificates and forms; photocopying
  • Maintaining and monitoring filing system, paper and electronic
  • Maintaining parish memberships
  • Prepare and maintains Mass Intention book, Mass cards
  • Preparing parish bulletin, calendar, and special programs as needed
  • Ordering and maintaining records of office and religious supplies and materials
  • Generating routine correspondence, digital and written
  • Monitoring and ordering supplies (office, janitorial, sacramental, etc.)
  • Photocopying all correspondence and other materials as needed
  • Adhering to deadlines based on the parish/Diocesan calendars
  • Other related tasks as assigned by the pastor

Qualifications


Personal Qualifications


  • Be a person who is motivated by the Catholic faith and willing to fulfill the vision and mission of the Parish.
  • Active participating member of a Catholic parish.
  • Enjoys working with people. Pleasant and welcoming.
  • Capable of working as a team with parish staff, ministry leaders, and volunteers.
  • Understands the importance of confidentiality of church records, information, and conversations.
  • Excellent verbal and written communication skills.

Professional Qualifications


  • Have a minimum of High School diploma or GED equivalent with basic knowledge of current business practices.
  • Preferred familiarity with the Philadelphia Archdiocesan system.
  • Have proficient computer and typing skills: knowledge of Microsoft Office applications, Word, Excel, PowerPoint, Publisher, Outlook, projector operation.
  • Excellent organizational skills and the ability to understand and follow instruction as well as work independently.
  • Excellent spelling and grammatical skills.
  • Attention to detail, follow through, accurate data entry and filing skills.
  • Proficient skills in electronic mail and the use of the internet

Physical requirements


While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects, tool or controls; reach with hands and arms; climb stairs; talk or hear. The employee must occasionally lift or move office products and supplies, up to 25 lbs.
