Essential Duties and Responsibilities
- Manage end-to-end processing of Orders and Referrals, complying with HarmonyCares established processes and procedures
- Coordinate and schedule appointments for patients with specialists, diagnostic facilities, and other healthcare providers based on urgency, availability and insurance coverage
- Assist patients with maps, facility locations, and direct dial numbers to specialists, diagnostic facilities and other healthcare providers as needed
- Coordinate with Health Information Management (HIM) team to organize and ensure that all required records, imaging, and/or procedural results are available to external provider(s) before patient’s appointment(s)
- Communicate and share necessary patient information to schedule home and DME services and/or orders
- Follow up with patients and providers to assure ordered services were completed or ordered equipment was received
- Answer and resolve inbound calls from patients, caregivers, and providers related to ordered services, including clarification questions, scheduling inquiries, and status updates
- Other duties as assigned
- Graduate of an approved Medical Secretarial program or one year of medical clinical experience, which must include keyboarding experience and experience interacting with people on the telephone (i.e., receptionist, switchboard, etc.)
- 3 years of customer service experience
- Experience with multi-tasking
- Strong communication skills (written & spoken)
- Demonstrate proficiency in using electronic health records (EHR) system, call center technology, and Microsoft Office Suite
- Ability to communicate effectively with patients and their family members, and facility staff
- Knowledge of basic principles, practices and techniques in primary healthcare
- Ability to read and interpret written information, and write clearly and informatively
- Ability to speak clearly and persuasively in positive or negative situations, including listening and getting clarifications, and responding well to questions
- Familiarity with Medicare and Medicaid insurances and programs
- Experience in Aprima (EHR)
- Medical scheduling experience
- Referrals and orders experience
