Overview:

The Ordering Specialist supports the purchasing team in sourcing, procuring, and managing the acquisition of furnishings, materials, and decor items for interior design projects.

Key Responsibilities:

  • Vendor Communication: Assist in communicating with vendors, suppliers, and manufacturers to obtain quotes, product information, and lead times. Maintain positive relationships with vendors and address inquiries or issues promptly.
  • Purchase Order Processing: Assist in processing purchase orders, ensuring accuracy, completeness, and compliance with procurement policies and procedures. Track order status, delivery schedules, and shipment notifications.
  • Quality Control: Assist in conducting inspections and quality checks on delivered items to ensure they meet quality standards, specifications, and design requirements. Document any discrepancies or issues and coordinate resolution with vendors.
  • Team Collaboration: Collaborate closely with interior designers, project managers, and other team members to support project objectives, timelines, and deliverables. Provide assistance and support to ensure seamless coordination and communication within the team.
  • Pricing Accuracy: Ensure the accuracy of pricing information provided by vendors and suppliers. Review quotes, invoices, and purchase orders to verify pricing consistency and alignment with negotiated terms and agreements. Collaborate with vendors and internal stakeholders to resolve any discrepancies or pricing issues promptly.

Requirements:

  • Basic understanding of interior design principles, materials, finishes, and furnishings.
  • Strong communication, organizational, and time management skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and ability to learn procurement software or inventory management systems.
  • Detail-oriented with a proactive and collaborative approach to work.
  • Ability to multitask, prioritize tasks, and work effectively in a fast-paced environment.


Additional Skills:

  • Accounting Experience: Basic knowledge or experience in accounting principles, such as budgeting, expense tracking, and financial analysis, would be advantageous for assisting in budget management and cost tracking within the procurement process.

Software Knowledge:

  • Gather: Proficiency in Gather, a software platform designed for interior design project management, collaboration, and procurement tracking.
  • Asana: Familiarity with Asana, a project management and collaboration tool, which may be utilized for task management, communication, and workflow coordination within the design team.
