Job Title: Order Management Specialist, Drop Ship

Department: Order Management

Location: Nashville, TN

The Customer Service Rep will work under the direction of the Customer Service Manager.

Job Responsibilities

  • Enter and process orders received by phone calls, emails and EDI

  • Track shipments and manage delivery timelines to meet customer expectations.

  • Manage relationships with suppliers/vendors and orders through customer portals when required to facilitate smooth Drop Shipping processes

  • Monitor inventory levels and collaborate with suppliers to prevent stockouts or delays

  • Dissect Vendor Guides to stay compliant with vendor requirements

  • Address customer concerns regarding orders, shipping delays, misships, damaged goods, or inventory discrepancies

  • Communicate with customers regarding order status updates using email or phone, communicating effectively, positively, professionally, and respectfully

  • Professionally handles phone calls and email requests from customers, and ensures issues are resolved promptly and effectively; Maintain composure and professionalism at all times

  • Maintain accurate records of orders, shipments, and inventory levels using appropriate software or tools (Salesforce)

  • Participates in a team environment, collaborating with cross-functional teams such as sales, customer service, and warehouse personnel to ensure seamless operations

  • Report trends impacting customer inquiries and systematic concerns to management

  • Continuously evaluate and identify opportunities to drive process improvements that positively impact the customer’s experience and optimize the Drop Shipping process

  • Stay updated with industry trends and best practices in Drop Shipping and logistics

You Bring (put requirements/qualifications):

  • 2-3 years in Drop Shipping, logistics, or supply chain management

  • Strong understanding of inventory management principles and logistics processes

  • Excellent communication and negotiation skills to interact with suppliers and internal teams effectively

  • Experience working in Customer Portals

  • Knowledge of UPC and Customer SKU process

  • Experience in Order Entry / Order Management to include all aspects of order processing. This includes everything from entering new orders to inspecting shipments to managing customer satisfaction and more

  • Good organizational skills

  • Knowledge of JDE preferred

You will need to be able to complete all physical requirements of the job with or without a reasonable accommodation, including:

  • Occasionally move about inside the office to access file cabinets, meeting rooms, copier/printer etc as well as have the ability to remain in a stationary position 90% of the time

  • Communicate effectively with customers through multiple forms of technology, including telephone and computer. Must be able to receive and convey information
