Role Title: Operations Project Manager  

Duration:  9 months 

Work Location:   Washington D.C (Open to Remote)

Work Schedule: M-F (PST hours) 

Project Overview:

As the Operations Project Manager, you will be a key driver in ensuring efficient operations, effective communication, and meticulous budget management. Your ability to juggle diverse tasks, from financial analysis to process optimization, will be instrumental in supporting our team's success.

Overall Responsibilities:

  1. Operational Excellence:
    1. Streamline and manage end-to-end contracting and financial processes, adhering to compliance standards.
    2. Develop and maintain clear, comprehensive process guides, training materials, and templates to empower GAPP teams.
    3. Provide expert troubleshooting for budget-related queries, including purchase orders, invoices, and budget transfers.
    4. Execute a variety of ad-hoc tasks with meticulous attention to detail, including updating project trackers. 
  2. Financial Stewardship:
    1. Track budget execution to ensure alignment with team priorities and timelines.
    2. Collaborate with Strat Ops Leads team to prepare quarterly reports on budget performance.
    3. Monitor and control team T&E (Travel & Expense) expenditures.
  3. Supplier Onboarding:
    1. Partner with Contract Specialist teams to seamlessly onboard new suppliers onto systems.
    2. Support in the process of opening purchase orders, managing supplier payments, and resolving any payment discrepancies.
  4. Communications:
    1. Create and maintain clear internal communications to keep the team informed and aligned.

Top 3 Daily Responsibilities:

  1. Responding to operation and budget related questions from the team
  2. Updating budget trackers and checking that budget related requests from team are executed correctly

Mandatory Skills/Qualifications:

  • Bachelor's degree or 3+ years of relevant experience in project management, with a focus on budget processes.
  • Exceptional organizational skills, strong attention to detail, and a self-starter mentality.
  • Proven ability to thrive in a fast-paced, ever-changing environment with a high degree of ambiguity.
  • Exceptional written and verbal communication skills (fluency in English).
  • Ability to build strong, collaborative relationships with diverse stakeholders.
  • Demonstrated proficiency in spreadsheet modeling (MS Excel, Google Sheets).

Preferred:

  • Experience in financial reporting and analysis.
  • Familiarity with data manipulation using SQL or similar programming/scripting languages.

Skill/Experience/Education
