Job Description
Position Summary: The Operations Manager has assignments to oversee multiple clinics/Office Managers and various practice departments as assigned. The Operations Manager will also receive special assignments from the Practice Administrator related to other departments or projects throughout the company that may be temporary or permanent. When responsible for a clinic the Ops Manager is responsible for the coordination of all activities, overall performance and efficiency of that clinic. This includes but not limited to staff consisting of medical records, front office: check-in, checkout, onsite operators, and medical assistants. Provides direction and oversight as necessary to staff not directly managed by the Ops Manager Performs job duties and responsibilities in compliance with company policies and procedures. Performs other duties and responsibilities as required.
Essential Duties and Responsibilities:
- Reports to the Practice Administrator regarding any issues related to workflows, patients, or employees. Provides a formal written report on a weekly basis of assigned office.
- Oversees multiple clinic managers and practice support department supervisors
- Provides technical support to assigned departments on operational processes and issues, as needed of assigned office with assignment of improved efficiencies and overall performance
- Conducts regular meetings with office managers, staff and any assigned departments
- Participates in Management Team meetings and other work groups as assigned.
- Performs HR functions such as interviewing, training, and counseling of employees as necessary or assignment under direction of the HR Director and Practice Administrator.
- Actively reviews and participates in the development and implication of department practice/policies and procedures.
- Works with their direct managers on staffing to assure staffing needs are met
- Monitors office workflows and ensures proper staffing levels are maintained.
- Administers performance evaluations, corrective actions and terminations, as needed.
- Monitors status of Physician dictations. Alerts Physicians to delays.
- Monitors functions of clinical staff and providers ensuring quality performance without untimely delays.
- Monitors and reports issues and problems associated with the computer systems, phones or other systems.
- Assures that managers are addressing all building maintenance issues, orders supplies, furniture, etc.
- Implements and maintains an employee recognition program.
- Collaborates with other Operations Managers to develop, review, train and audit clinic/department staff on Emergency Plan and Safety Policy and Customer Service.
- Assures staff are trained on their duties, computer programs and cross training in other areas. Ensures HIPAA and OSHA guidelines are followed.
- Conducts quality assurance audits on all departments, reports findings to Practice Administrator
- Accounts for quality assurance of required daily functions.
- Ensures the collection of copays and coinsurance policies and processes are followed in assigned clinics and departments. i.e., ensures daily batches are reconciled and accurate.
- Assists the Business Office to correct performance problems impacting revenue cycle.
- Performs other duties as assigned by the Practice Administrator.
Minimum Qualifications:
- Ability to travel to multiple sites as needed daily; including non-clinic business office locations
- Ability to use office equipment, computer.
- Strong analytical, verbal and written communication skills.
- Management Experience in medical office or ambulatory surgery setting.
- Operational Experience with Electronic Medical Records.
- Understanding of standard medical billing practices.
- Knowledge of insurance company’s procedures and policies.
- Knowledge of healthcare governmental, legal, and regulatory provisions.
- General knowledge of diagnostic testing.
Education and/or Experience:
- Bachelor’s degree in Business Management, Health Care Administration or related field. Master’s Degree preferred.
- 5 years of Management experience in an outpatient medical facility or ambulatory healthcare setting required.
Certificates, Licenses, Registrations:
· CMPE preferred
