In pursuit of our vision, we are seeking a candidate possessing a MBA degree and a minimum of 3 years of relevant experience in operations or project management. The Charter School of Educational Excellence seeks a Director of Operations to provide leadership in managing the business operations and development initiatives of our school. The Director of Operations is responsible for tasks related to facilities management, finance, health and safety, student enrollment and records, transportation, meal service, technology, procurement, service contracts, audits and event logistics. The Director of Operations assists the school leadership with all projects and activities that create a successful and safe school environment for students and staff. The Director of Operations will report directly to the Superintendent.
Responsibilities & duties (including, but not limited to) Management and Leadership
Guide the evolution of the schools current and long-term operational strategy by overseeing all non- instructional operations
Ensure smooth day-to-day functioning, emphasizing an exceptional school culture by being highly present and visible during school hours
Collaborate with school leaders to implement an innovate strategic operational goals, enhancing the quality of educational services for students and families
Foster excellence in all areas of school operations through effective communication and collaboration with the school leadership team which includes, the Superintendent, Principals and Directors
Provide direct supervision to the school-based Operations staff, including the Operations Manager, Operations Associate, Receptionist, the Child Nutrition Department, Facilities Department and contracted vendors, which include Security and the Technology Department.
School Administration & Project Management
Ensure that the school is adhering to all local compliance and reporting requirements, as per calendars and guidelines provided by the State Education Department
Perform annual assessments of all contracts, verifying the existence of three competitive bids on file to uphold transparency and compliance standards
Manage all school emergency preparedness tasks, including planning and implementing logistics for the School Safety Plan, evacuation routes, safety drills, communication with staff, students and parents
Oversee office administration, including visitor management, safety protocols vendor relationships, equipment maintenance, mail distribution, and phone answering, creating a welcoming environment for students and visitors
Review all insurance policies, handle renewals, and ensure compliance measures are effectively implemented
Coordinate tech distribution, vendor communication, and conduct annual inventory assessments
Lead annual preparations for the new school year, organizing project plans, assigning tasks, and coordinating the procurement of furniture, equipment, and classroom supplies. Ensure readiness of school services, such as student food and transportation services
Build and support school systems and routines including arrival, late pickup, lunch and recess, dismissal and processes supporting instruction
Ensure the timely implementation of all items on the monthly administrative calendar
Manage the School Operations team to support in executing operational excellence
Support with planning and implementation of team-wide events including but not limited to professional development sessions, team-building events, and org-wide occasions
Collaborate with school Leadership Team to ensure that all government and authorizer grant proposals and reports are completed on time
Ensure that the procurement of all materials, supplies and services necessary for efficient operation of the school are contracted in accordance with federal, state and department of education regulations, as well as Board of Trustee policies and procedures
Participate in parent-teacher conferences, Board Meetings and committee meetings as needed
Perform other related duties as required and assigned
Budget & Finance
Work with Superintendent and School Leadership to develop and manage the schools budget
Submit quarterly district billing, keeping accurate and up-to-date records of student information
Participate in monthly budget review meetings with school leaders to assess and account for variances; monitor and report on the usage of school-based bank accounts
Coordinate on-site components of school financial systems such as purchase orders, payroll records, grant reports, and financial forms reports
Ensure adherence to schools fiscal policy and procedures; participate in annual financial audit process by providing documentation as needed to auditors
Monitor the schools budget and oversee contracts, purchasing, accounting, saving on costs and staying in compliant
Create systems to monitor expenses
Student Enrollment & Services
Point person on the business operations side for student enrollment process
Assist in the application process, covering recruitment, lottery, registration schedules, waitlist management and support school open houses, lottery events, and student registration preparations
Assist in the design and placement of ads to recruit students
Oversee the New York State Child Nutrition Program, ensuring quality of control of daily food deliveries and completing monthly reporting
Participate in student health services, monitoring trends and coordinating with nursing staff for inventory and equipment needs
Oversee student transportation logistics, including yellow bus services and Metro Cards, maintaining a positive relationship with Public Works and Transportation
Plan and manage school events, including board meetings, ceremonies, open houses, special events, and filed trips
Purchasing
Coordinate purchase orders and checks requests for all vendors contracted provide goods and/or services
Develop RFPs as needed
Manage vendor relationship such as those with copier services, transportation and building safety contractors, etc.
Ensure all appropriate contracts have been submitted and approved prior to work being performed
Supervise ordering of student/teacher resources, furniture, technology, etc.
Compliance
Ensure school-wide compliance with safety and health and laws
Ensure legally compliant safety procedures are in place, including schedules for fire evacuations and bus drills
Submission of per-pupil billing report
Submission of proposals for grants and other funding as approved by NYSED
Security Program
Evaluates training needs of, develops, coordinates, and implements training to security staff
Provide comprehensive supervision and oversight for all security staff across the K-12 program, ensuring a safe and secure environment for students and staff. This includes coordinating security protocols, conducting regular assessments, and implementing measures to enhance overall safety
Assists in the investigation of safety and security-related issues
Develops and disseminates written guidelines regarding safety and security issues
Supervises security staff and ensure appropriate security coverage for school activities and events
Evaluates current safety procedures and policies regarding student pick up and drop off, school bus arrival/departure, loading students, and school bus safety. Makes recommendations for any necessary changes
Mailings
Oversee mailings to ensure they happen in a timely and thorough manner
Asset Management
Create systems to monitor inventory (Technology, Furniture, Student Resources, etc.) including organization of storage spaces
Work experience & skills
At least 3 years of operations management experience in a fast-paced, entrepreneurial environment
Minimum 2 years work experience in a data management or similar environment
MBA degree required
Experience in a similar role in a traditional district or charter school is preferred
Experience with project-management and developing a long-term strategic plan
Excellent organizational, planning and implementation skills
Excellent communications skills, both verbal and written, and strong interpersonal skills with students, parents colleagues, and community members
Proficiency in Google Platform, Microsoft Excel, PowerPoint, Word and Outlook
