Overview: As an Operations
Assistant, you will play a crucial role in supporting the efficient functioning
of the Chief Operating Officer and overall business operations. This position
requires a high level of organizational skills, discretion, and the ability to
handle a variety of tasks with precision and professionalism. The Operations
Assistant will work closely with executives, department heads, and other team
members to ensure seamless day-to-day operations. The Operations Assistant
is responsible for facilitating all aspects of warehouse operations and office
team operations. This role requires
strong leadership skills, exceptional organizational abilities, and a deep
understanding of warehouse processes.
The main function of this role is to facilitate communication and
resolve operational issues.
Reports To: COO
Key Responsibilities:Executive Support:
- Provide
- comprehensive administrative support to executives, including calendar management, travel arrangements, and meeting coordination.
- Prepare
and organize materials for executive meetings, ensuring timely distribution and follow-up on action items.
Communication and Correspondence:
- Manage
- and prioritize incoming communications, including emails, phone calls, and written correspondence.
- Draft
and edit documents, reports, and presentations for executives.
- Facilitate
all communications to the COO by creating a bridge to and from. a daily recap of events within each department.
- Create
Office Management:
- Oversee
- the smooth operation of the office by managing supplies, equipment, and facilities.
- Coordinate
with relevant departments to ensure a productive and well-maintained working environment.
- Be
solution oriented and come up with suggestions for periodic issues.Warehouse Team Facilitator:
- Maintain
- open and clear communication with the warehouse teams.
- Facilitate
all projects by building a bridge between the warehouse team and the COO.
- Assist
the warehouse managers in finding viable solutions for those areas needingresolution. This may include vendorselection, repair estimates, protocol development.
Meeting Coordination:
- Schedule
- and coordinate internal and external meetings, ensuring that all logistics are handled efficiently.
- Prepare
meeting agendas, take minutes, and follow up on action items to facilitate effective communication and decision-making.
Project Support:
- Assist
- in project management tasks, including tracking time lines, milestones, and deliverables.
- Collaborate
with team members to ensure project-related tasks are completed on schedule.
Data Management:
- Maintain
- and organize sensitive and confidential information with discretion.
- Manage
databases, files, and documentation to ensure accurate record-keeping.
Problem Solving:
- Address
- and resolve operational issues as they arise, collaborating with team members to implement effective solutions.
- Anticipate
potential challenges and proactively implement preventive measures.
Qualifications:

- Bachelor's
- degree in business administration, management, or a related field preferred.
- Previous experience as an Operations Manager.
- Proven
- experience in an executive support or operations role.
- Exceptional
- organizational and multitasking abilities.
- Excellent
- communication and interpersonal skills.
- Proficiency
- in office software (Microsoft Office suite, Google Workspace, etc.).
- Strong
- attention to detail and ability to work independently.

and ability to handle confidential information.
