The Milstein Medical Asian American Partnership (MMAAP) Foundation is seeking a full-time Operations Associate for their Midtown Manhattan office. This is a 5 day per week in-office role. The successful candidate is bilingual English-Mandarin speaking.

Description

Responsibilities of the Operations Associate position include but are not limited to:

  • Reporting to the Executive Vice President
  • Providing day-to-day administrative support to the Foundation and leadership
  • Drafting correspondence such as emails, letters, press releases, executive summaries, statements, and reports
  • Scheduling meetings, taking minutes, and keeping records
  • Preparing material for board and committee meetings
  • Supporting the grant administration processes
  • Assisting with the planning of international conferences/symposium and coordinating production of the collateral materials needed (videos, brochures, standing banner, etc.)
  • Providing event and fundraising support
  • Preparing and processing invoices, financial statements, prepare checks and track finances
  • Processing forms and transactions (financial, travel, reimbursements); maintaining records and databases
  • Arranging domestic/international travels include air, hotel, and ground transportation
  • Coordinating space and office organization; purchasing and managing supplies and equipment
  • Effectively communicating with and manage vendors
  • Contributing to the continued growth of the Foundation
  • Manage ongoing and special projects
  • Adhering to all company policies and procedures
  • Maintaining a positive attitude and disposition

 

Qualification

  • Bilingual in English/Mandarin is a must: must speak, read, and write proficiently in both English and Chinese.
  • Bachelor’s Degree preferred with 2-3 years of experience
  • Prior administrative experience required
  • Prior non-profit organization experience preferred
  • Exceptional organizational skills and attention to detail
  • High proficiency in Microsoft Word and Excel and applicable PC hardware
  • Excellent verbal and written communication skills
  • Proficient in basic office math
  • Able to work independently, as well as part of a team
  • Must be able to work in-person (5 days/week) in midtown NY office
