Job Description
This position supports daily operations of a private law firm; recruits, trains and supervises office assistants; provides other logistical support as required.
Job Duties & Responsibilities:
- Recruits, trains and supervises a team of part-time Office Assistants (OA). Coordinates OA work schedules to ensure adequate support for the firm.
- Prepares daily schedules of office tasks (mail, runs, conference room management).
- Coordinates all in- and out-of-town deliveries, including court filings.
- Coordinates the moving and storage of paper files inside our office spaces.
- Coordinates with file storage vendor on weekly pick-up and delivery of off-site files.
- Ensures all kitchens are clean and restocks supplies, including vending machines.
- Ensures that all copy rooms are properly stocked with office supplies.
- Maintains inventory of all files stored in bunkers.
- Coordinates workers and all materials for all firm events, as directed by the Director of Administration.
- Coordinates maintenance of office equipment, as needed, including but not limited to shred boxes, ice machines, drink machines and typewriters.
- Acts as liaison with building property management groups to facilitate maintenance and repair of office spaces.
- Assists the Director of Administration with implementation of office moves.
- Provides back-up assistance performing OA duties when necessary.
KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
1. Ability to read and write in order to proof and perform minor editing (e.g., punctuation, grammar, spelling) for email and other correspondence. Ability to perform non-complex arithmetic calculations when verifying calculations on forms and documents; maintain records; high school diploma or equivalent.
2. Ability to operate a computer and to perform work in Outlook, Word, and Excel.
3. A minimum of three years supervisory experience preferred.
4. Ability to organize and prioritize numerous tasks and delegate tasks properly or complete them under time constraints.
5. Interpersonal skills necessary to communicate and follow instructions effectively from a diverse group of attorneys and staff; to communicate in person, by e-mail and telephone ordinary courtesy and tact.
6. Work occasionally requires a high level of mental effort and strain while producing a high volume of information and performing other essential duties.
7. Work occasionally requires more than 37.5 hours per week to perform the essential duties of the position; may require occasional irregular hours.
Job Type: Full-time
Pay: $20.00 - $25.00 per hour
