POSITION TITLE: Office Manager
IMMEDIATE SUPERVISOR: LCPAA - PART-TIME POSITION
QUALIFICATIONS:
Education: High School Degree
- High School Graduate with training in secretarial skills
- One year of business education or one year business experience in general office work preferred.
EXPERIENCE
At least 2 years of experience in Clerical experience setting
DUTIES
- Maintain confidentiality and other responsibilities listed in governmental laws and regulations, as well as Immeka Group child Placing Agency Policies and procedures. Adheres to policies related to boundaries with youth.
- Attends required abuse risk management training.
- Reports suspicious and inappropriate behaviors.
- Follows mandated abuse reporting requirements.
- Adheres to job specific abuse risk management responsibilities.
The Office Manager shall perform the following duties:
- Typing
- All correspondence and miscellaneous reports for childcare staff
- Type and keep copies on hand of all materials about childcare to be sent to Placing Agencies, Foster homes, and therapist.
- Miscellaneous form letters to be kept on hand.
- Filing
- Make a file on all new foster children (completion of caseworker checklist)
- Keep all files accurate and up to date, filing loose materials daily
- File (clinical invoices, i.e., serious occurrences)
- File (clinical invoice, i.e., serious occurrences)
- Records and Notifications
- Maintains a list of foster children and foster families, and generates up-dated form weekly
- Maintains placement books and packets for new foster placements
- Maintains database and prints out reports
- Maintains monthly reports for Case Managers and Supervisors
- Assists receptionist with overflow of phone calls
- Maintain adequate supply of copies of forms used by the Case Manager.

- Maintain all placement service records and personnel utilizing a tracking and tickler system

- Remains focused while working under pressure.

Job Type: Part-time
Pay: $17.00 - $18.00 per hour
Expected hours: 15 – 20 per week
