Essential Functions:
- Provide overall administrative support to the Chief Executive Officer, including:
o Calendar management, scheduling, and meeting reminders
o Coordinate travel logistics and facilitate data entry tasks
o Helping create agendas and supporting materials for board, committee, and
other meetings
o Material and space preparation, minute-taking, and follow-up
o Board of director and committee engagement and management, including
assessments, orientations, retreats, special events, and managing
communication platforms
o Coordination of human resources activities such as hiring, orientation, and
benefits
- Support fundraising and donor management efforts, including:
o Writing and distributing thank yous, giving reports, and other donor
communications
o Recording philanthropic gifts and managing the donor database
o Helping coordinate annual online giving events
o Assisting with prospect research, donor cultivation, grant and report preparation
- Assist with team coordination, including:
o Serve as point of contact between internal departments, external stakeholders,
and the CEO, relaying messages and ensuring effective communication
o Program and project event planning and coordination
o Managing a master calendar
o Organizing an online shared filing system
- Provide operations and office administration, including:
o Implementing and overseeing tools to improve operational efficiency, including
Customer Relations Management, donor, board, finance, and human resources
management
o Ordering and manage office supplies, equipment, software, and hardware
o Handling incoming calls and addressing inquiries
o Trouble-shooting IT issues
o Receiving and disseminating mail

Qualifications & Experience
- Prefer at least one year of volunteer and/or professional experience in community
development, community organizing, urban studies, urban planning, urban design,
architecture, urban geography, spatial sciences, sociology, social psychology, Black
Studies, Latinx Studies, Multicultural Studies, real estate development, marketing,
business administration, public administration, or other related fields
- Exceptional project, program, and event management skills with sound time
management, organizational, and follow-through skills and an ability to coordinate
complex activities and prioritize conflicting demands and deadlines
- Able to work flexible hours, including early mornings, evenings, and weekends, when
necessary
- Experience in the use of common office machines and willingness to learn and use
specialized equipment and technologies
- Proficiency in Microsoft Office Suite and working with Apple computers; familiarity
with Adobe Creative Suite, Google Docs, and Canva
- Content creation proficiency for social media
- Requires valid identification and ability to provide own transportation

Work Environment
Spark staff members have a flexible work-from-home policy, allowing them to work from the
office or elsewhere as long as their schedule is communicated with their supervisor.
Physical Demands
The employee must be able to use a computer and perform routine office and clerical tasks.
The ability to type from written material, read from a computer monitor, and engage in video
conferencing is required.
Position Type and Expected Hours of Work
This is a full time, position. Spark’s office hours are generally from 8:30 a.m. – 4:30 p.m.,
Monday through Friday. Flexible scheduling is allowed. Occassionally the position will require
attendance at meetings before or after office hours and on the weekends.
Travel
Typically, the employee can expect regular local travel for meetings and events within the
Omaha/Council Bluffs region and no or limited overnight travel outside the area.
