POSITION SUMMARY
As the Supervisor of Office Administration and Warehouse Operations, you will oversee various responsibilities, such as inventory processing, managing company funds, and ensuring the accuracy of financial transactions. This role involves handling petty cash, customer payments, money orders, route settlements, Pcards, preparing invoices, and managing accounts payable. Additionally, you will be responsible for the documentation and accounting of fixed assets, including office equipment, warehouse facilities, industrial power equipment, and the private fleet.
ESSENTIAL JOB FUNCTIONS
Financial Management:
- Prepare, review, and approve invoices.
- Manage petty cash accounts and conduct account reconciliations.
- Collect funds, including checks and money orders, and follow up on customer payments.
- Process accounts payable and expense reimbursements, ensuring accuracy of funds.
- Issue bill back credits and enter credit memos.
Personnel Management:
- Guide and supervise direct and indirect reports.
- Handle tasks such as hiring, training, evaluation, development, coaching, and disciplinary actions.
Documentation and Reporting:
- Obtain and scan backup documentation, including open deductions, promotions, and inventory/orders.
- Coordinate and source supplies, repairs, preventive maintenance, rentals, and renewals of warehouse equipment.
- Review and maintain fleet reports, fuel receipts, fuel consumption, and Driver’s Vehicle Inspection reports.
Compliance and Audits:
- Support compliance with Department of Transportation (DOT) regulations and licensing.
- Conduct internal audits, develop action plans, and act as the main point of contact for third-party providers.
Analysis and Reporting:
- Analyze Key Performance Indicators (KPIs) such as Days Sales Outstanding (DSO) and Cases per Man Hour (CPMH).
- Provide recommendations to achieve KPI objectives.
- Prepare and audit internal fixed asset disposal forms.
Other Duties:
- Perform additional duties as assigned.
To be considered for this role, candidates should meet the following requirements:
- High School Diploma or GED
- Demonstrated leadership experience of at least one (1) year.
- Two (2) years of hands-on experience in areas such as bookkeeping, Accounts Receivable (AR), Accounts Payable (AP), route cash settlement, inventory controls, and fleet management
- Bilingual fluency in both English and Spanish, encompassing reading, writing, and speaking skills.
- Proficient with Microsoft office, including skills with Outlook, Word, and Excel
- Ability to travel up to 10% of the time.
Elevate your candidacy by possessing the following preferred qualifications:
- Associate degree in Accounting, Administration, or Finance
- Proven supervisory experience.
- Proficiency in SAP ERP modules, including Finance (FI), Controlling (CO), Material Management (MM), and Plant Maintenance (PM)

- Navigate the usual office environment with frequent transitions between sitting, walking, and standing, occasionally incorporating climbing, stooping, kneeling, crouching, crawling, and balancing.
- Regularly employ eye-hand coordination, ensuring seamless utilization of office machinery.
- Demonstrate effective oral and auditory capacity for interpersonal communication, including proficiency in communication through automated devices such as the telephone.
