The Occupancy Coordinator position is responsible for a wide range of activities supporting University Housing (UH) which includes developing, leading, and managing assigned UH programs while maintaining high-level customer service, ensuring contract compliance, and supporting space-planning and other occupancy management processes integrally related to financial planning. These dynamic programs include, but are: Resident Academic Programs (RAPS) and Living Learning Communities (LLCs); special commitment groups (e.g., student athletes and academic groups such as Boettcher's and Norlin Scholars); medical certifications and accommodations; and year-round residency programs.

The position will also support StarRez database management operations, ensuring data integrity, performing regular data quality checks, cataloging timely notes, and web applications. The position will offer hospitality to students, parents and other guests, maintaining a friendly and welcoming environment as professional representatives of the campus and department. The team helps shape their living expectations, navigate the contract process and shares in their excitement while mitigating any uncertainties about their new home at CU-Boulder. Additionally, UH supports students with over 500 room changes a year and annual housing renewals.

What Your Key Responsibilities Will Be Occupancy Management and Hospitality: Manage hall and room assignment procedures and communications using StarRez reservations management software and other procedures, ensuring timely and efficient communication of information to students as related to specific assignment needs and contractual compliance. Maintain solid understanding of all policies and procedures related to UH and closely-linked departmental and campus partners (Res Life, Dining Services, Admissions, New Student & Family Programs, etc.) to ensure consistent and seamless communication with students and parents. Exercise critical analysis of day-to-day operations and communicate to peers and UH leadership when policies and procedures seem to contradict an environment conducive to student success and OM standard methodologies.

Determine exceptions to student eligibility requirements for residing in residence halls, meal plan assignments, and other conditions or stipulations of the contract. Provide input and direction to the petition committee responsible for review of first-year and financial exception petitions submitted by students. Offer hospitality to all students, parents and all other guests and visitors to UH, offering friendly and professional reception and a welcoming environment as university representatives, Work hand-in-hand with students and parents to create and sustain positive expectations and experiences with the CU-Boulder residential community.

Participate in assigned Admitted Student, New Student Welcome, Student for a Day, International Student Orientation, and other campus events. StarRez Database and Student Account Management: Ensure data integrity and entry accuracy in performance of all UH duties regarding assigned residential areas and programs within the StarRez technological platform. Actively supervise, assess and adjust term, rate, room, board and other information for all assigned residents' accounts and bookings.

Perform regular data quality checks for bookings and other information for assigned residential areas and programs. Report inconsistencies, errors and other problems in a timely manner to the StarRez database administrator for resolution. Maintain adequate and timely notes within StarRez regarding all activities (resident/parent communications, room moves, assignment preferences, exceptions, etc.) and other relevant information to enable consistent service and communication throughout UH (includes unit director, associate director, assistant directors, other program managers, student staff members, the staff members of Student Accounts Management within UH, and the financial staff members of Accounts & Controls).

Specify, design and implement customized subsystems (modules, webforms, etc.) within the StarRez platform according to departmental end-user needs. Maintain the operation and data integrity of assigned StarRez module(s), webform(s), and/or web application(s) (e.g., front desk resource module, visitor check-in/info, room inspection and damage forms, lofting form, etc.). Develop documentation and educational materials and implement trainings for Res Life staff members and other users for semester and individualized offerings.

Assist as assigned in initial and ongoing troubleshooting and other testing activities in the development environment (e.g., pre-new applications, version upgrades, new modules, etc.). Develops and provides sophisticated occupancy reporting, key performance indicator reports, and report development as needs are identified. This requires extensive use of ad-hoc reporting tools using data from multiple sources, including but not limited to StarRez, Campus Solutions (SIS), PeopleSoft, and the centralized information warehouse (CIW).

Program Development and Management: Develop, propose, refine and implement strategic marketing, recruitment, communication, and retention initiatives for assigned UH programs. Ensure consistency with UH objectives by providing leadership and support for programmatic initiatives through proactive planning, communication, and appropriate documentation. Communication, Outreach, and Training Management: Maintain programmatic communication and training regarding residence hall applications, reservations, contracts, inter-hall moves, occupancy-related petitions, and hall assignment policies and procedures to students, parents, appropriate staff, and to the university community at large.

Develop continued outreach and retention mechanisms in collaboration with Residence Life, RAPs, and/or other academic and student affairs staff in order to perpetuate the student resident experience past the first-year requirement. Provide regular informative outreach and guidance to various campus partners, e.g., Athletics, RAPs, Admissions, Financial Aid, and other university departments with special populations or needs. Participate in Student Affairs and university committees and working groups to address issues pertinent to specific program management procedures.

Student Staff Management and Training: Select, educate, supervise, and conduct performance reviews with student staff. Develop training initiatives and materials tailored to specific program areas that are consistent with UH occupancy and business goals. Diversity, Inclusion, and Equity: Integrate social justice into development of programs, practices, policies, and processes.

Educate student staff in respecting and understanding cultural differences. Maintain knowledge and educate self in areas of diversity, inclusion, and equity. What You Should Know The shift for this position 8am -5pm, Monday - Friday with some weekend and evening hours.

This position requires at least 1+ years of experience directly related to the work assignment. What We Would Like You to Have Customer service related to creative and impromptu problem solving in occupancy management, residence life, or high-volume hospitality industry. Relevant experience with demonstrated excellence in customer service Proven experience navigating ADA requests.
