The Medical Receptionist/Mohs Coordinator facilitates patient check-in and check-out services and carries out administrative tasks such as scanning documents, data entry, and schedule/calendar management associated with Mohs surgeries. The Medical Receptionist/Mohs Coordinator works alongside the Practice Manager to support the everyday needs of the practice.
Essential Duties & Responsibilities including but are not limited to:
Medical Receptionist
- Answer telephone calls promptly and in a friendly manner.
- Warmly welcome patients into the practice.
- Make appointments on as-able basis.
- Makes certain that patient records/EHR records are available and encounter form is attached.
- Registers all patients and checks insurance information as well as other demographics.
- Verifies spelling of patient’s name in Athena/GE Centricity.
- Verifies referrals and print off from POS machine when patients arrive for appointments.
- Patient Check- Out
- Processes patients at conclusion of visit by reviewing encounter sheets for correct changes, diagnoses marked, provider signatures and follow up appointments.
- Accurately schedules and informs patients of return appointments for follow-up
- Accurately counts, documents in a daily cash log, and secures all change according to operating protocols on a daily basis.
Mohs Coordinator
- Schedule all Mohs/excision for surgeons
- Performs pre- op calls to all patients obtaining medical history.
- Message Mohs surgeons with relevant updates of medical history
- Receive all phone notes from all providers for scheduling Mohs/ excisions procedures.
- Mail out confirmation of surgery packets at least a week in advance
- Maintain schedule to capacity/avoiding excessive overbooking.Fill surgery appointment slot if one should cancel.
- Coordinate rescheduling of all cancellations.
- Oversee the wait list, move up promptly when an appointment slot opens.

- Support APDerm’s mission and culture of high-quality standards by carrying out applicable policies, procedures and established industry standards, laws and regulations. Examples include adhering to privacy and data protection practices, ensuring a safe workplace, and reporting observed or suspected behavior and actions that do not meet APDerm standards.
- Complete all assigned required training by the deadline including, but not limited the Code of Conduct, Privacy & Data Security, and OSHA
Mandatory
- High School Diploma or equivalent (GED) required.
- At least two years related experience required
- Dermatology or Mohs experience preferred
Preferred
- Dermatology or Mohs experience
- Working knowledge of EMA, Athena GE, GE Centricity, Epic, or any other EMR/EHR system.
- Complete Administrative Proficiency (Microsoft Office Suite, Web-based applications, email, or related software)
