TITLE: Middle School Attendance Secretary
REPORTS TO: Building Principal
JOB GOAL: Help maintain a friendly school office environment in which the candidate supports and helps to problem-solve for all visitors, phone inquiries/requests, and e-mail correspondence, while maintaining a positive attitude in completing all assigned duties.
QUALIFICATIONS:
- Possess an Associate Degree or higher (Bachelors Desired).
- Accurate Typist (60 wpm or more).
- High degree of proficiency with computer programs (such as MS Office, Excel, etc.).
- Ability to use a variety of office machines.
- Proficiency in language and composition skills.
- Possess an enthusiastic personality and friendly interpersonal skills.
- Possess the ability to multi-task within a busy office while maintaining a positive attitude and pleasant demeanor.
POSITION RESPONSIBILITIES:
- Maintain and monitor accurate attendance records for every student in the building.
- Assume primary telephone responsibilities for the building.
- Primarily responsible for assisting students and parents who enter the office and via phone or e-mail.
- Maintain confidential student files (A & B files), as well as computer records.
- Responsible for assisting with the registration of new students and releasing student records for those who withdraw.
- Register all visitors with the Raptor Computer System.
- Maintain Student Data.
- Responsible for iPad deployment, troubleshooting, basic maintenance, etc.
- Help with process for recruitment and enrollment of new students and set up shadow days for interested students.
- Assist the administration during emergency drills.
- Assist with collection of order forms and parent responses.
- Perform general office work, such as word processing, filing, etc.
- Communicate via 2-way radio with bus drivers, administrators, and school safety officer.
- Work closely with the Transportation Department regarding bus concerns.
- Required to attend several evening events per school year (Open Houses, Parent Nights, etc.).
- Assist with the daily substitute teacher procedures.
- Assist with morning and afternoon announcements.
- Prepare mailings and registration packets.
- Assist with scheduling meetings for principals.
- Handle student, parent, and teacher requests.
- Manage all correspondence to parents and District Judge regarding attendance issues.
- Track late arrivals of students and issue and schedule detentions for excessive tardiness.
- Perform other work as assigned by the building principal.
TERMS OF EMPLOYMENT: 10-month position (210 days per year) - Class "B"
HOURS: 7:30 a.m. - 4:00 p.m. (8-hours per day)
SALARY: $18.49/hr.
EVALUATION: Annually, in accordance with provisions of Board policy.
