Job description

The American Society of Echocardiography (ASE) is a nonprofit medical organization committed to advancing cardiovascular ultrasound to improve lives. ASE is seeking a full-time Membership Specialist.

Position Summary: The Membership Specialistis a full-time position focused on membership-related activities tied to ASE's strategic and operational goals. The Membership Specialist will report to the Director of Membership. This position has the potential for a hybrid work schedule but will require in-office work 1-2 days per week.

Essential Duties and Responsibilities:

Membership Coordination (90% of time)

  • Serve as primary contact forward mail, phone and voicemails in the Membership Department system and respond to members and non- members via phone and email to maintain a high level of customer satisfaction.
  • Assemble member ambassador (referral program) packets on a timely basis to ensure a high level of customer satisfaction.
  • Assist Membership Department staff to enter check payment batches.
  • Serve as primary contact for Affinity programs, currently ASE Branded Store and Financial Literacy program, and others as necessary.
  • Monitor and track customer complaints and feedback to assist in providing a high level of customer service.
  • Work with Membership Department for coordination of membership renewals and to activate new members.
  • Primary staff liaison to ASE Forums, provide assistance to volunteer leaders with meeting preparation, attend all group meetings, and provide meeting notes post event.
  • Review Military support documents for processing military members.
  • Assist with renewal mailing procedures, including correcting addresses from returned mail, pulling lists and reports, and creating invoices.
  • Assemble and mail FASE certificates and plaques.
  • Work to improve processes in compliance with database upgrades and be detail-oriented to maintain the integrity of the member database.
  • Actively work to gather member information and expand on the database's demographic collection along with expanding its prospect management.
  • Assists Membership team members in coordination and set up of volunteer group meetings including scheduling, slide preparation, and minutes.
  • Provide assistance to the Membership Director in support of membership reports to the Board, steering committee, or upon request from other groups.
  • Support weekly membership team meeting by orchestrating agenda items, meeting notices, and meeting notes for distribution to all ASE staff.
  • Set up and manage projects and tasks effectively within Asana (or preferred project management platform).
  • Participate in weekly membership team meetings, providing reports when necessary.
  • Assist with managing membership material stock to assess needs and make ordering recommendations or stock changes to the Director of Membership.
  • Contribute to other projects and tasks as needed in support of ASE's success or at the direction of the CEO or Deputy CEO.

Administrative (10% of Time)

  • Manage and respond to project related email and phone calls, assuring a high level of customer service
  • Support the organizational structure of ASE by attending staff meetings, working on task forces, seeking and attending professional development opportunities, working in a team atmosphere and cooperating with other staff members, completing minutes, meeting summaries, paperwork and timesheets in a timely manner.
  • Contribute to other projects and tasks as needed in support of ASE's success.
  • Perform other duties as assigned by the Supervisor, CEO, and Deputy CEO.

Travel

  • Position may be assigned to attend meetings to provide staffing for other ASE-related duties. Travel, if any, will be limited to within the continental U.S.

Minimum Job Requirements:

Education: Bachelor's degree preferred. An equivalent combination of education, training, and experience will also be considered.

Experience: A minimum of 1-3 years of experience providing exceptional customer service in a professional setting. Experience working in non-profit medical environment or with an association or membership-based organization is preferred.

  • Strong interpersonal skills, professional appearance, and demeanor.
  • Proven track record for superior customer service.
  • Outgoing personality with an upbeat demeanor.
  • Excellent communication (oral and written) and interpersonal skills.
  • Comfort with membership-based database software and its applications.
  • Competence in Windows Office software, database programs, and online applications.
  • Ability to manage multiple projects in a fast-paced environment and effectively meet deadlines.

Physical Requirements:

Job requires frequent sitting, and repetitive hand and wrist movements. Must be able to work a variety of hours in order to accommodate volunteer activities. Business travel requires the ability to endure the rigors of air travel and being on one's feet for long hours.
