Position Title: Meeting Specialist

Location: Hybrid

Job Summary

This position is responsible for providing support to the meetings team for the day-to-day activities of all ANS (American Nuclear Society) meetings, with a primary emphasis on registration and program submission processes. The meeting specialist will work daily with all members of the meetings team on the details and coordination of meeting execution.

Job Description

Attention to Detail & Execution (75%):

  • Exceptional leadership, customer service skills, and problem-solving skills

  • Ability to think creatively by offering solutions to problems
  • Must possess strong analytical skills
  • Ability to remain calm under intense pressure is necessary
  • Ability to multi-task and plan different events simultaneously
  • Available to travel to conferences as required (up to 6 conferences yearly, each conference ranging between three to seven days)
  • Support inquiries from the department’s three general email boxes
  • Assist in the creation and editing of programs, conference app, agendas, and other materials
  • Registration responsibilities including, but not limited to, processing, invoicing, cancellations, substitutions, and building individual sites
  • Coordinates planning of workshops and off-site events including transportation
  • Will work with staff and volunteer members of all levels
  • Ability to work independently on projects, from conception to completion, with attention to detail and deadlines
  • Requests proposals and negotiates with vendors for services
  • Support team members with other related projects

Communications & Relationship Building (25%):

  • Excellent oral and written communication skills, organizational skills; communicates with authors, session chairs, and attendees
  • Works with meeting staff, divisions, and local section volunteers to collaborate and support the focus of the conference technical programs

Preferred Qualifications

  • Outstanding communication and customer service skills required
  • Proficiency in MS Office and MS Teams required
  • Meeting planning experience or related hospitality experience required

Job type: full-time

Salary range: $48,000 - $52,000

In-office requirements:

Hybrid work environment with at least 2 days in office per week with a standard 7.5-hour workday.

On-site requirements:

Depending on the conference, on-site requirements will range between four to six days. On-site hours will vary depending on the conference schedule.

Physical Requirements:

  • Must be able to stand and walk for long periods of time during events
  • Must be able to lift up to 25 pounds when packing and unpacking conference materials in office and on-site

Job Type: Full-time

Pay: $48,000.00 - $52,000.00 per year
