We are a busy Home Health Agency looking for a responsible Receptionist/ medical records personel to perform a variety of clerical tasks. Primary responsibility and accountability for maintaining accurate patient records for billing purposes, supply inventory and other related clerical duties.
Responsibilities
- Answers telephone lines promptly and efficiently. Responds to message content appropriately, as instructed by the Clinical Director. Records telephone calls onto call log.
- Plan meetings and take detailed minutes
- Write and distribute email, correspondence memos, letters, faxes and forms
- Assist in the preparation of regularly scheduled reports
- Develop and maintain a filing system, send out and receive all doctors orders, plan of care and anything to do with patient records.
- File all elements of patients records on a daily basis
- Process new patient referral information into the computer system on a timely basis.
- Tracks verification for all skilled services
- Date stamps all clinical notes on a daily basis
- Receives and routes daily incoming mail
- Maintains current log of interim orders and plans of care to verify mail and return date to comply with state and federal regulations.
- Coordinates and verifies clinical documents for input, i.e. 485-486 forms( Admission through Discharge).
- Update and maintain office policies and procedures
- Order office supplies and research new deals and suppliers. Maintains adequate supply of patient clinical record elements and stock of pre-made clinical records available for clinicians.
- Maintain contact lists
- Book travel arrangements
- Submit and reconcile expense reports and help with payroll prep
- Provide general support to visitors
- Act as the point of contact for internal and external clients
- Liaise with executive and senior administrative assistants to handle requests and queries from senior managers
- Special projects and other related duties as assigned by the Clinical Director
Skills
High school graduate or equivalent
- Proven experience as an administrative assistant or office admin assistant
- Knowledge of office management systems and procedures
- Ability to type 50 words per minute
- Working knowledge of office equipment, like printers and fax machines
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- High School degree; additional qualification as an Administrative assistant or Secretary will be helpful.
Job Type: Full-time
Pay: $18.00 - $20.00 per hour
