Position Summary:
The Medical Records Specialist is responsible for all records/orders that are required to be submitted to medical physicians by the field staff. Ensures accurate and timely submission of payroll information.
Education, Knowledge and Skills:
- Education and/or Experience: High school graduate with minimum of two (2) years of additional training in business or accounting. Minimum of two (2) years of experience in Health Care billing and collections, preferably in home care.
- Demonstrates knowledge of billing regulations for Medicare, Medicaid, and other insurance processing, billing terminology and coding.
- Knowledgeable of regulatory standards for home care specific to the reimbursement area.
- Information system knowledge in the areas of electronic claim submission and date entry/report generation.
- Demonstrated organizational skills, detail orientation, flexibility, and ability to work with minimal supervision.
- Demonstrated verbal and written communication skills.
Essential Responsibilities and Duties:
- Print off physician orders to send for signature; enter information into tracking system when sent out and mail orders.
- Receive orders from physicians and enter information into tracking system.
- Mail out all Medicare Part B orders.
- Update and locate all address and phone numbers for physicians that have been incorrectly entered into our tracking system.
- Track all physician orders and provide to liaison.
- Follow up with physicians to confirm that all orders have been received on first mailing attempt. Continue to send out orders until they have been received.
- Post all visits for payroll.
- Update all data received into email format.
- Audit charts for final bills.
- Contact field staff of incorrect frequencies
- If records are all complete and correct, provide to Billing Coordinator. If records are not correct, continue to track for corrections.
- Provide team leaders any corrections that have not been made by field staff within 48 hours.
- Provide receptionist assistance as needed.
- Work toward continual improvement of the overall organization.
- Perform other duties as assigned.
