The primary responsibility of the bilingual Medical Office Front Desk/ Receptionist is exceptional patient care. Primary job duties include patient check-in, review patient charts to verify necessary information and that all signatures have been obtained and enter new patient information into the computer.
Front desk staff are the first people patients see when entering our office. It's important to ensure that patients feel welcomed to the practice. A professional, friendly and considerate attitude are essential.
Reports to the Front Office Supervisor.

RESPONSIBILITIES
Patient Check In
· Welcoming and greeting all patients and visitors, in person or over the phone with polite and proper etiquette.
· Provide new patient with New Patient Forms, or if patient hasn't been seen in 1 year or more, they will fill out an updated demographics form
· Collect photo ID and verify patient demographics
· Ensure patient intake forms are completed correctly
· Update/collect patient insurance card and verify insurance eligibility
· Scan documents and assign to the appropriate location
· Accompany patient to exam/procedure room
· Process payments, collect copays, deductibles, self-pay monies or outstanding balances
Administrative
· Places telephone calls to new patients to confirm upcoming appointments and verifies information required of the patient at the time of appointment
· Provides backup support on telephones by answering central telephone system and directing calls accordingly
· Inspects reception room for neatness.
· Multitasking between phone calls, registering new patients, pulling charts, etc.
· Maintain a complete on-going working knowledge of skincare terminology
· Explain procedures and personalized skin care plans
· Address patient queries (via email, phone or in-person)
· Monitor physicians' schedules
· Maintain patient flow (checking patients in and out, confirming appointments, filling in cancellations, etc.)
· Attend all office meetings as scheduled
· Verifies Insurance Benefits
· Count Petty Cash daily
· Create Slips in advance
· Comply with state and federal regulations and have a general understanding of HIPAA guidelines
· Assists in the ordering, receiving, stocking, and distribution of office supplies
· Maintain the coffee station with essentials, ie. coffee, creamer, cups, stirrers
· Sanitize and clean lobby at the end of the day - Clean during the day if needed - At the end of the day tidy the magazine table, refill water in the coffee maker
· Performs other duties as assigned
Appointment Scheduling
· Schedule medical and cosmetic appointments using approved clinic management computer system
· Conducts daily review of schedule status for the remainder of the week and the following two weeks
· Schedules all appointments with the appropriate physician
· Confirms appointment if they are not confirmed though the automated system
· Cancels and reschedules appointments as necessary; conducts follow-up on no-shows
· Checks ZocDoc hourly to add appointments to the electronic schedule
· Communicates with patients utilizing Med Chat daily
Miscellaneous Duties
· Assist in general office duties and other duties as required
· Check mail, email, and fax regularly
· Maintain a professional appearance
Schedule: Full-time, Monday through Friday. Occasionally, Saturday’s may be required.
Salary: $15.00 - $18.00 per hour
