Medical Clearance Support

The role of the Medical Clearance Support is to assist and train all Nuvia teams in medically clearing patients in the most timely, and effective way possible, while keeping the patients safe and making sure they are scheduled for surgery within 3 weeks of their Smile Design, unless on a category 4 med hold.

Hours are full time, 40 hours a week, and will be in office Monday-Thursday with the ability to work from home on Fridays.

Responsibilities:

• Monitor all Nuvia center's admin team with their Medical Clearance process
• Notice trends within centers to help improvement or development as we grow
• Check red zone patients on a daily basis
• Help teams that need assistance getting records for arches being saved on the schedule
• Meet with anesthesia team weekly and collaborate with concerns
• Train existing admin teams, new hires, or providers on the flow for Medical clearance and filling out the Medical Clearance tracker
• Active role on the Center Operations team
• Handling all Medical Clearance process for the travel department
• Work with regional GMs to help teams in need
• Report to Zoe weekly for updates and review Medical Clearance within Nuvia
• Complete a daily EOD on day's tasks, obstacles, and wins
• Heavily assist centers when admin team has turnover or new center launches

Once Treatment Acceptance form has been signed, the GM will send the Health Questionnaire, the Vitals Intake Form, and the Medical Records release form to the Medical Clearance specialist & sedation. Sedation will reply with instructions and the Medical Clearance specialist will follow the instructions given by sedation. Local team will work with the patient in requesting all necessary records to ensure that the patient is cleared for surgery and is scheduled within 3 weeks, or less. They will also be communicating with sedation and the surgeon in that center to ensure all best practices are in place. Medical tracker MUST be filled out for Medical Clearance Support to help when requested.

Requirements:

• At Least 40 hours per week
• Have a high social intelligence to navigate complex situations with patients, the GM/CCS and the doctors.
• Be proactive in getting Medical Clearances through daily follow up and getting the surgeon involved when necessary.
• Adaptable when asked to jump from helping center to center
• Overcoming any obstacles to get the job done
• Positive, encouraging attitude to the teams when jumping in to help Medical Clearance process
• Organization
• Self-starter
• Understanding how the med clearance flows in the mini map
• Ensure all eligible patients are scheduled no longer than 3 weeks out.
• The ability to have a good working relationship with the GMs/CCs and surgeons in the centers.
