Overview

Provides point of care for assigned physician, including promptly responding to patient telephone calls, scheduling the patients, providing assistance in authorization needs and any other functions as assigned. Ensures excellent Patient Service, for patients and families, physicians and staff, and visitors. Upholds the mission statement and expectations of the facility.

Key Tasks & Responsibilities

Essential Functions

1. Manages and oversees the assigned physician's schedule, coordinating time blocks effectively and efficiently for the physician, and extender, as needed.
2. Verifies physician orders, patient information, insurance information and obtains any additional needed information.
3. Maintains access to and competent in using the internet to verify insurance eligibility and authorization information.
4. Creates patient visit in Scheduling from scheduled visit by entering all detail information in a timely manner.
5. Assists with calls to patient to negotiate and collect point of service payments.
6. Scans documents as required to the system ensuring correct placement and assignment of the documents.
7. Verifies all required information is signed and scanned at the time of admissions.
8. Provides exemplary customer service by immediately greeting patient with courteous smile, introducing self and providing a quick, proficient and accurate registration.
9. Communicates effectively and works cooperatively and professionally with all co-workers, management, patients, visitors, physicians and others. Demonstrates work as a team player.
10. Cross-trains (as needed) to proficiency in all additional assigned areas, including clinic procedure room, referral coordination and authorization. Fills in as needed for breaks, illness and vacations or coverage of shifts.
11. Documents concisely, precisely and accurately in the system and on records, patient account notes or documents for every patient contact.
12. Answers incoming phone calls and direct to the appropriate destination. Promptly returns all phone calls within a 24-48 hour time frame expectation.
13. Abides by all HIPAA policies and requirements.
14. Performs other duties as assigned by Practice Manager or assigned physician.

Licensure and Certification:

Requires: Registered Medical Assistant (RMA) diploma, radiology certification preferred. Current BCLS (Basic Cardiac Life Support) required and/or graduate from accredited medical assistant program.

Experience Required

Two years previous experience with scheduling. Computer skills, basic office skills, knowledge of medical terminology required.
