Job Purpose
The Market Administrative Director will lead the day-to-day operations of the Central Mississippi sites for Relias. The Market Administrative Director will work alongside the medical directors and Administrative Director as a liaison between Physicians, Advanced Practice Clinicians (APC), Relias Healthcare, and the hospital. The Market Administrative Director will manage a variety of tasks that will require excellent interpersonal communication and problem-solving skills.
Duties and Responsibilities
People:
- The Market Administrative Director keeps lines of communication open with staff to ensure high employee morale and a professional, healthful practice atmosphere.
- Recognize situations that need to be elevated and assist with resolution on issues that arise on a day-to-day basis.
- Works with providers to ensure new processes are communicated and implemented appropriately and providers are comfortable and understand expectations.
- Work with Relias Healthcare to understand and focus on the culture of the practice.
- Work to cultivate a practice that is centered around the identity of our passions and values.
- Maintain strictest confidentiality in all matters encountered in the role of Market Administrative Director.
- Informing marketing and event coordinators of upcoming events, and coordinate personnel to attend.
- The Market Administrative Director will manage the Relias portal for the site, oversee practice communication, and ensure that messages are consistent across our practice.
- Market Administrative Director will maintain a provider roster which includes but is not limited to the following: provider emails, addresses, licensure information, DEA numbers, and certifications.
Scheduling
- Daily schedule maintenance with oversight from the practice operations executive, medical director, or scheduling director.
- Assist the Administrative Director in upkeep of When to Work, by uploading new providers, maintaining email addresses, and sending out login information.
- The Market Administrative Director will assist with room reservations and scheduling of monthly meetings at each site as requested.
Recruitment & Onboarding
- The Market Administrative Director will work with the internal credentialing team to accomplish pre-boarding tasks and site-specific credentialing tasks.
- The Market Administrative Director will assist in updating onboarding manuals specific to each site.
- The Market Administrative Director will assist the Administrative Directors in pre-boarding, on-boarding, and off-boarding.
Staff Retention & Engagement
- Maintain a community of engagement throughout sites.
- Consistently communicate the message of Relias’ Mission and Passions - that the provider is our priority.
- Assists with coordinating celebrations and value initiatives for our providers and teams.
- Assists with documenting important life events through the portal.
- Assist with celebrating provider and practice accomplishments throughout the practice and the organization.
- Assists with educational sessions for nursing staff and providers that facilitate process improvements.
- Assist with being the “conscious” of our local practice and elevate any staffing concerns to the Chief Operating Officer or practice operations executive
Innovation:
- Bring new business ideas to leadership for company growth and expansion.
- Submit a minimum of one charter request per quarter.
- Work with corporate leadership to develop innovative educational opportunities for providers and staff.
- The Market Administrative Director will upload and keep all files up to date on providers for all sites.
- The Market Administrative Director will notify the credentialling team of pending expirations and reach out to the providers as these are set to expire.
- The Market Administrative Director will be diligent in making sure that all new provider information is acquired and processed during pre-boarding.
Quality:
- Ensure that all providers are properly using the Relias Portal and all platforms.
- Assist in ongoing focused education courses for/by the ED, as appropriate to the staff, patient population, and facility needs.
- Coordinate with AMD of APCs to host an annual skills lab in the market.
- Maintain up to date task in project management suite and keep team informed of progress.
- The Market Administrative Director will manage reporting metrics needed for monthly scorecards.
Value:
- Continually look for ways to reduce costs to Relias and operate department within budget.
- Search for ways to add value to our partner hospitals through our team and strengthen relationship.
- The Market Administrative Director will assist the data analyst in weekly uploads of Logix RAI/CNR reports into the Relias portal. The Market Administrative Director will follow-up with individual providers who are not completing tasks. The Market Administrative Director will work with risk management and IT to get charts unlocked and ready for provider to finish documentation.
- The Market Administrative Director will work with When to Work reports for payroll, and preparation of calculations which are requested by the CFO.
Excellence:
- Ensure that each communication is professional, branded, and concise.
- Must attend Relias/Facility functions asked by corporate office when not working clinically or on vacation.
- Maintain a professional appearance at all Relias and Medical center sanctioned activities.
- Other job-related duties as assigned.
Qualifications
- Strong analytical skills with the ability to collect, organize, analyze, and disseminate significant amounts of information with attention to detail and accuracy.
- Ability to work under time constraints when data is needed expeditiously.
- Strong knowledge of Microsoft Office and excel and medical terminology.
- Team-Oriented worker with strong interpersonal communication skills.
