Primary purpose:

Manage assets related to fleet and equipment at corporate locations. Manage Company fleet vehicles and equipment covering all phases of the vehicle life cycle from acquisition through disposition. Provide accountability and responsibility for fleet costs associated with O&M and Capital. Direct services surrounding acquisition, redeployment and termination of fleet vehicles and equipment. Manage the subordinates performing the Fleet and commercial motor vehicle (CMV) functions. Foster the success of these functions across organization. Serve as primary resource related to federal and state Department of Transportation (DOT) regulations for company commercial motor vehicles.


Essential duties and responsibilities

  • Ensure accurate, effective and consistent communication and administration of Fleet and Driver Policy.
  • Provide program and transaction data metrics to Management as needed.
  • Ensure ongoing improvement through evaluation of current processes.
  • Oversee technology support for all systems used by the Fleet Department including but not limited to developing interfaces, extracting data, and training users.
  • Promote and demonstrate vehicle safety as a part of the company’s overall safety program.
  • Develop and present training on a variety of fleet related topics to audiences ranging from 2 to 100, entry level to executives.
  • Maintain a high level of current knowledge on the fleet industry, including but not limited to, vehicle supply chain issues; vehicle upfitting compatibility by make/model; specific manufacturer’s order timelines; etc.
  • Be the primary point of contact for all fleet related issues and new initiatives within the company.
  • Foster a positive open work environment, systems approaches and disciplined execution of all assigned tasks.
  • Manage corporate fleet and CMV programs.
  • Develop and deploy departmental expectations and goals to help drive out non-value added cost.
  • Manage Fleet functions across organization. Functions include but are not limited to: development and implementation of policies and procedures, standards, and user training.
  • Develop and manage cost center and capital budgets, tracking and reporting.
  • Develop annual strategic plan for Fleet Department and complete monthly forecasting.
  • Development and review of subordinates’ performance.
  • Develop and maintain a positive working relationship with internal and external customers.
  • Interface with a wide variety of people with tact, courtesy, and professionalism.
  • Maintain a regular, dependable attendance, and high level of performance.
  • Maintain a high regard for personal safety, the safety of company assets and employees, and the general public.
  • Other daily, weekly, monthly or special project duties as identified and defined.
  • Assist with accident reporting and interface with Legal, Risk, Safety and responsible parties.
  • Solicit and analyze feedback on vehicle performance, safety, and functionality of fleet vehicles.
  • Perform informal training sessions on fleet related topics, both in person and online.
  • Analyze and share relevant manufacturer or NTSP recalls or safety advice.
  • Manage resale, redeployment or disposal of used inventory.
  • Collaborate with a variety of people with tact, courtesy, and professionalism.
  • Maintain regular, dependable attendance and a high level of performance.
  • Maintain a high regard for personal safety, the safety of company assets and employees, and the general public.
  • Other daily, weekly, monthly, or special projects may be assigned.


Minimum
requirements:


Education:

  • Bachelor’s degree from an accredited institution in Business Management or a related discipline.
  • A minimum of five (5) years’ direct work experience in fleet administration or other business operations area may be considered as a substitute for a degree.


Experience/Specific Knowledge:

  • A minimum of five (5) years active and direct work experience in fleet administration.
  • A minimum of three (3) years recent supervisory experience.
  • A minimum of three (3) years of direct work experience related to Federal Motor Carrier Safety Regulations compliance, recordkeeping, etc. for a commercial motor vehicle fleet. Familiarity with the regulations and requirements for driver qualification files, vehicle inspections, return to work process, DOT drug and alcohol testing, driver and supervisor training requirements, etc.
  • Experience working with a fleet management company (FMC) to acquire, monitor and dispose of vehicles.
  • Experience with a motor vehicle fleet of over 500 vehicles.
  • Strong working level knowledge of the Federal Motor Carrier Safety Regulations (FMCSRs) and state level commercial motor vehicle regulations.
  • Strong working knowledge of vehicle acquisition process – ordering, transportation, delivery, registration, titling, etc.
  • Experience developing and maintaining vendor relationships with vehicle manufacturers, upfitters, auto dealerships, etc.
  • Experience utilizing a vehicle telematics system, including vehicle enrollment, monitoring, reporting, setting up alerts, geofencing and training new vehicles and users.
  • Demonstrated work experience that required organization and performance of multiple tasks simultaneously, frequently, and under struct deadlines.
  • Knowledge of fleet and commercial motor vehicle practices generally accepted by industry.
  • Project management experience in fleet and upfitting, or a financial-related field
  • Ongoing education in fleet management or a related field
  • General Fleet Management knowledge
  • Job level commensurate with experience and skill sets.


Certifications, Licenses & Registrations:

  • Must possess and maintain a valid driver’s license and a driving record satisfactory to the company and its insurers.
  • Certified Automotive Fleet Manager (CAFM) certification preferred.

  • Demonstrated intermediate level of proficiency with Microsoft applications (including but not limited to Outlook, Word, Excel, Access, PowerPoint) for the purpose of word processing, presentations, spreadsheets and information retrieval.

Working Conditions:

  • Travel is required and anticipated as up to 30% time away from the assigned work location and across a broad geographic region (U.S. coast to coast and possibly Canadian provinces); motor vehicle and air travel anticipated
  • Will work non-traditional hours as needed.
  • Required to carry a cell phone and be available to respond during working and non-working hours.
  • Candidates will be required to clear a drug screen and complete a background check, including a credit report for certain positions after an offer has been extended and prior to being employed.
