Job description

Job Overview:
The Association of Research Libraries (ARL) seeks an experienced finance professional to oversee and manage the Association's finances and Operations . The Manager of Finance and Operations will be responsible for maintaining accurate financial records and overseeing all office operations. This is a key role within our Association, requiring strong analytical skills and attention to detail. This is a hybrid position, with in-office attendance required approximately 2-3 days per week.

Duties: Core duties include the management of the accounts payable and accounts receivable processes; day-to-day administration of office operations and management of general office matters such as equipment and supplies.

Finance and Accounting - Approximately 80%

  • Process all Accounts Payable (includes recording and filing of vendor invoices, preparing electronic payments)
  • Process all Accounts Receivable (includes production, recording, filing and reporting on customer invoices)
  • Process incoming payments (includes preparing weekly bank deposits, recording all cash receipts)
  • Management of the the monthly credit card reconciliation
  • Reconcile accounts and produce reports
  • Liaise with partner organizations on financial recordkeeping matters
  • Engage with vendors and customers as necessary in a professional and customer service focused manner
  • Other duties as assigned

Operations & Office Management - Approximately 20%

  • Manage office supply inventory
  • Manage of offsite storage (Iron Mountain)
  • Manage office equipment (copiers/scanners, printers, postal machine, office audio/visual equipment)
  • Assist with coordination of in-office meetings
  • Liaise with building management company as needed for day-to-day operations
  • Other duties as assigned

Qualifications:

  • Associate's degree or certification in business/finance/accounting, Bachelor's degree preferred
  • Two or more years hands on accounting experience
  • Strong knowledge of GAAP accounting principles
  • Exceptional organizational skills with the ability to prioritize tasks and meet deadlines
  • Excellent communication skills with the ability to effectively collaborate with cross-functional teams
  • Experience with MIP accounting software preferred
