Job description

It is the primary responsibility of the Banquets, Catering and Wedding Chapel Manager to service the needs of Banquet, Catering and Wedding Chapel clients, to coordinate weddings, banquets and conference groups. Creating contracts, wedding event orders, banquet event orders, estimated banquet checks and work with sales contracts and bookings. Oversee activities and be the liaison between the group contacts and property staff. Also, to oversee the day-to-day operations of the Wedding Chapel, exhibit a complete working knowledge of the department functions including financial growth, development and training of the staff coordinators, contracted Ministers, photographers and videographers All duties are to be performed in accordance with departmental and property policies, practices and procedures.
Specific Job Functions:
• Handle group details once made definite including the food and beverage program, menu selections, estimated and actual food and beverage revenue and set up requirements for food and beverage functions through group departure
• Handle sub-group arrangements as required including credit arrangements and space requirements
• Respond to new catering business inquiries
• For catering groups, obtain client requirements to execute catering contract
• Book and service group details for catering groups including the food, beverage and meeting program, menu selections, estimated and actual food and beverage revenue and set up requirements through group departure
• Obtain necessary deposits, payments and signatures on contracts, policies and event orders
• Service clients of short-term bookings from Group Sales
• For catering groups, obtain client requirements to execute catering contract
• Produce and distribute details for events including banquet event orders
• Interact with other departments within the hotel
• Check the availability of banquet space as well as effectively booking the banquet facilities
• Conduct tours of banquet facilities, sleeping rooms and other areas of the hotel
• Set the standards of professionalism for the department through the development of procedures and the training of service skills
• Create and maintain a work environment which promotes teamwork, performance, feedback, recognition, mutual respect and employee satisfaction
• Order outside services for events
• Respond to new catering business inquiries
• Work as a liaison between the client and property and communicate group needs to required departments
• Oversee the assigned operational functions within the department consistent with the strategic plan and vision for the department, the division and the property
• Attend pre-convention and weekly departmental meetings
• Ensure catering services offered are presented in accordance with property standards and are of the highest quality
• Produce and distribute details for events including event orders and group resumes
• Input and maintain group information in function diary
• Maintain a flexible schedule to be present at various functions
• Ensure banquet services offered are up to property standards
• Conduct pre-convention staff meetings and attend weekly departmental meetings
• Prepare post-convention reports as needed
• Oversee exhibition company activities
• Ensure contract specifications are met including payment, reservation procedures, program activities and monitor pick-up relative to allowed attrition
• Manage assigned operational functions consistent with the strategic plan and vision for the department, division and property
• Sell and service all wedding receptions in conjunction with clients who have ceremonies booked in the wedding chapel.
• Create contracts and BEOs for wedding receptions.
• Work with Banquets, AV, culinary, and vendors to plan wedding receptions.
• Handle multiple work assignments and meet deadlines for various assignments including market research and exploring business opportunities
• Maintain inventory control keeping a physical active count on stock items, retail and warehouse inventory
• Supervise and organize all staff members, coordinate and schedule all meetings and special events
• Handle guest relations and correspondence by speaking to guests and addressing any customer service issues which may arise
• Assist guests with special requests for wedding arrangements
• Research and provide input into all wedding related advertising and market demographics
• Ensure guests are treated courteously, complaints and problems are resolved, and requests for special services are carried out
• Adhere to departmental policies and procedures
• Perform all duties as deemed necessary for the success of the department


• Minimum two years’ experience in catering, banquets, wedding chapel and food and beverage management preferred.
• Knowledge of Microsoft programs preferred.
• Knowledge of Delphi preferred.
• Alcohol Awareness Card required.
• Must have some knowledge of food service, banquet set-ups and banquet equipment requirements.
• Excellent interpersonal skills to deal effectively with all business contacts.
• Communicate effectively in English both in oral and written form.
• Maintain a professional, neat and well-groomed appearance adhering to Excalibur standards.
• Work varied shifts, including weekends and holidays.
• High School diploma or equivalent.
• Proof of eligibility to work in the United States.
