Maintenance Support Manager

Job Summary: The overall goal of the Maintenance Support Manager is to ensure properties maintenance needs are achieved efficiently and cost-effectively while maintaining Tribute quality standards. The Maintenance Support Manager is responsible for providing support to maintenance teams as directed by the Regional Maintenance Supervisor. The Maintenance Support Manager will complete various duties including but not limited to work orders, make-ready vacant units, Capex project completion, special project support, vacation coverage, and additional support items as assigned by the Regional Maintenance Supervisor. The Maintenance Support Manager may also be required to meet with and present various recommendations to owners and senior leadership, develop scopes of work, manage assigned capital projects of all types, manage vendor (supplier) relations, and analyze properties with respect to capital needs, budgeting, and maintenance. This position is also responsible for offering guidance and support of on-site maintenance needs. The Maintenance Support Manager is expected to have the ability to travel as needed within an assigned geographic territory. A valid driver’s license and reliable transportation is required.

Relationships
Reports to Regional Maintenance Supervisor in their assigned regions.

  • While the Regional Maintenance Supervisor directly supervises, the Maintenance Support Manager indirectly supervises and supports all on-site maintenance personnel at properties assigned.
  • Maintains relationships with peers and all other departments within the company.
  • Maintains relationships with suppliers, vendors, and others serving the Company or the properties.

Major Goals and Responsibilities
Maintenance Support Managers are responsible for supporting site teams and encouraging the successful execution of maintenance programs for their assigned portfolio of properties.
They are responsible for:

  • Mentoring, training, and providing support for site staff.
  • Maintaining the integrity of the physical asset in accordance with the Company's mission, vision, and objectives.
  • Responsible for training and development of maintenance personnel of their portfolio, either directly or through others.
  • Attracting, guiding, developing, evaluating, motivating, and mentoring all on-site maintenance Associates.

Essential Activities
Hands-On Maintenance Support

  • Work Orders
  • Make-ready repairs and apartment turns
  • Capital improvement projects
  • Special projects as assigned
  • On-site coverage of maintenance personnel during personnel transitions, scheduled vacations, leaves of absences, etc.
  • Other on-site work as assigned by the Regional Maintenance Supervisor

Mentoring & Training

  • Train or ensure appropriate training of all new hires and current employees, including:
  • General maintenance for plumbing, electrical, mechanical, carpentry, pool maintenance, irrigation, and fitness equipment repair
  • Expectations for grounds appearance
  • Preventative maintenance
  • Work order expectations (all completed within 24 hours)
  • Procedure and expectations for apartment turnovers
  • Safe work practices for all tasks
  • Moisture/mold/bed bugs

Develop and maintain ongoing safety training

  • Lead on-site maintenance staff in the diagnosis of problems and repairs in the areas of HVAC, electrical, plumbing, swimming pool, carpentry, drywalling, exterior structure, and appliance.
  • Review maintenance technicians’ daily activities to ensure proper use of time.
  • Randomly make ready inspections to ensure standards are being met
  • Schedule preventive and floating maintenance, if applicable.

Capital Needs

  • Perform site inspections annually to determine capital needs at each property.
  • Assist management in preparing annual operating budget and capital projects budget.

Miscellaneous

  • Respond immediately and act in conjunction with Risk Management as consultant and coordinator in disaster situations such as hurricanes, earthquakes, tornadoes, floods, snowstorms, fire, and other natural and manmade disasters.
  • Understand, perform, and train techs with problems associated with leaks and water intrusion, including mold remediation.
  • Coordinates work schedules with Community Managers.
  • Make repairs to fire alarm systems when capable to include battery changes, surge protector replacement, resetting system -responsible along with CD's for the overall appearance of the property.

Experience and Special Knowledge

  • Minimum of five years’ experience at on-site and supervisory levels.
  • Must have a valid driver’s license unless otherwise noted.
  • Knowledge of all aspects of maintenance repair and service.
  • HVAC Certification.
  • Must be able to perform all facets of apartment make-ready.
  • Must be able to troubleshoot and repair HVAC equipment, plumbing systems, electronic systems, all major appliances, pool and spa equipment and other systems on community (gates, phone jacks, irrigation systems, etc.)

Education/ Designations

  • High School graduate; technical school preferred but not required.
  • Freon Recovery certification Type I and II, or Universal required.
  • Certified Apartment Service Technician (CAMT) required within first year
  • Certifications in boilers, plumbing, HVAC (basic and advanced), journeyman license, use of fire extinguisher and first aid preferred. Must have training in compressor diagnosis, appliance repair, etc. Must have certifications/permits required by city or state to perform job responsibilities (i.e., pool operations, maintenance, electricians, etc.).
