SALARY RANGE: $53,800 - $72,600

MISSION STATEMENT

Our mission is to return the city's blighted and vacant properties to productive use. We utilize a variety of Sales programs to make homeownership and land purchases accessible to Detroiters. Plus, we take our commitment to revitalization one step further with our Compliance and Nuisance Abatement programs, requiring renovation and occupancy to improve neighborhoods, eliminate blight, and combat real estate speculation. The Detroit Land Bank Authority works directly with individual buyers, as well as Community Partner organizations and developers for projects big and small.

As a member of the Operations department, the Maintenance Administrator will play an important role in leading communications with (the)maintenance contractor(s), In-House Maintenance, DLBA Building Inspectors and client inquiry response.

DUTIES AND RESPONSIBILITIES:

· Review and respond Salesforce inquiries including prioritizing and submitting work orders, and communicating with constituents

· Verify vendor work completion through auditing and downloading vendor provided before and after photographs.

· Maintain accurate and current records of all maintenance work ordered and completed by vendors at DLBA properties.

· Respond to inquiries and other communications requiring the explanation of procedures, policies, rules, state laws, etc., applicable to the circumstances

· Act as a point of contact regarding the status of maintenance inquiries on DLBA owned properties

· Establish and revise work methods, forms, formats, and standards to improve field operations efficiency

· Resolve problems and answers questions for field operations and building inspectors.

· Audit, triage, and maintain updated records on resident requests related to the status of DLBA-owned parcels.

· Assist with vendor maintenance invoicing and the monitoring of contract spending.

· Assist and perform other related duties, or work on special projects as assigned by the Manager.

· Serve as the primary point of contact for maintenance inquiries to DLBA owned properties.

· Conduct historical research of online imaging and Salesforce cases records for property details, internal notes, and dialog.

· Review with the severity of concerns and discuss with Program Manager fair expectations including the possible results and a probable timeline for completion.

· Create work orders in Salesforce and update the inquiry resolution. Determine which interagency resources would provide the most responsible resolve.

· Provide information in a timely manner to colleagues and constituents upon request.

· Collaborate with Maintenance Program Manager to verify work order performance is to specification and initiate invoicing.

· Provide strategic solutions to refine operational efficiency.

· Prepare and update reports that provide an accurate reflection of current Maintenance request

QUALIFICATIONS

· Bachelor’s degree in business administration, public policy, urban planning, political science, history, community development, real estate, or a related field, preferred

· Strong ability to multi-task, prioritize multiple projects simultaneously and work under tight deadlines

· Detail oriented with excellent organizational and time management skills and the ability to work under tight deadlines

· Strong verbal and written communication and presentation skills, with a sound grasp of English grammar and composition

· Ability to understand and carry out the terms and conditions of contractual agreements.

· Ability to maintain records and prepare reports and correspondence related to the work.

· Proficient in MS Office Suite of products (Word, Excel, PowerPoint, Access, Outlook)

· Experience with Salesforce, preferred

· Knowledge of Detroit strongly preferred

· Passionate about serving Detroit, strongly preferred
