The Motor Vehicle Administration (MVA) is seeking a dynamic agent with focus on delivering premier customer service. The main purpose of the Mailroom Operations is to provide the Motor Vehicle Administration mail processing services. These Services include the receiving sorting and sending of mail and packages. It serves the MVA Headquarters’ operations as well as the 23 MVA Branch facilities. Mailroom Operations personnel are required to be familiar with the United States Postal Standards Codes.
The Mailroom Operations of the Motor Vehicle Administration imports approximately 9,000,000 and exports 10,000,000 pieces of mail annually. Monthly high-volume mailing such as, vehicles registration renewals, driver’s license renewals, notifications of violations, VEIP Notices, Title and Lien require to be dispatched in a timely manner to allow the customer to meet the requirements of MVA Regulations. Special mailing must be handled in such a way that will ensure that there is no interruption of the schedule for the regular monthly mailings.
Operate and maintain all mailroom equipment, the Blue Crest EPIC inserters, which are utilized for all mass mailings. Familiarize yourself with Pitney Bowes computerized postal meters, to ensure the proper postage is applied for presorted, regular, and bulk mailings.
A daily pick up of mail from Post office Boxes at the United States Postal Office and Regular mail from the vehicle Emission Inspection Program Office is required. Inform the internal customers of the proper procedures of preparing an item to be mail.
Responsibilities include but are not limited to the following:
- Retrieves from OIR building and separate prepared mail notifications for over 150 different types of mail jobs by accounting codes.
- Operate and maintain the Blue Crest EPIC Inserters, which process and apply postage for large volume monthly mailings, such as vehicle registration renewals. Weekly VEIP Notice and driver license renewals notices. Daily, Titles and Security Interest.
- Filing (Liens), vehicle registration stickers, along with 150 different types of “Special” mailings, such as Insurance Compliance Division Warnings and suspensions, Change of Name and/Address Cards, Point of System Requests, and Child Support Letters, etc.
- Processing Out of State title requests, on the EPIC inserter, which may be kept separate and kept in order from the regular daily titles. These Titles required an out of state address label.
- Maintaining a separate count of each piece of mail daily on a meter sheet
- Operating a Blue Crest Slitter, which separates the title liens to be used on the mail inserting equipment. This information is used for a monthly postage report for the Office of Financial Services.
- Responsible for the filling the postage meter to ensure that postage funds are available.
- Emptying the trim vac that is connected from the mail inserter. The trim vac suctions the trim from the letters that are run through the mail inserter.
- Responsible for breaking down boxes and placing in recycle bin.
- Preparing the workstation by stocking it with the necessary materials for a specific job, such as envelopes and inserts.
- Prepares the APC (all purpose container) for pick up by our presort company. All mail is placed in trays, which are placed in the APC.
- Insuring the proper account code is used for each type of mailing. This information is entered into the DFWorks accounting system and consist of a piece count and total postage used for each mail batch from a variety type of letters mailed out to a customer.
- Inputs into the Blue Crest File Audit/DC Verify Integrity solutions and Insite Workstation System.
- Maintain file audit system, which keeps track of all titles and vehicle registration stickers that contain a barcode for verification of mailings.
- Training new employees and cross train current employees.
- Operating a new mail cutter.
- Operating a letter folding machine.
- Operating the desk top Pitney Bowes Postage on envelopes.
- Taking deliveries of large packages from UPS and Federal Express, which is delivered daily at the loading dock, adjacent to the mailroom. This requires the use of a pallet jack and dolly.
- Pick up mail from the 11(eleven) post office boxes at the local post office. Pick up and deliver mail to the Vehicle Emission Inspection Program (VEIP), which is located outside of the MVA location. P O Box mail that is for the Remittance Processing Unit, such as mail in registrations, driver license renewals, and administrative flag fees must be delivery directly to this unit for security reasons. This is performed daily. Mailroom personnel driving a state vehicle must comply by passing a DIP course annually.
- Taking inventory of supplies on site specific for each type of mailings in order to maintain a constant flow of work without delay.
Qualifications
Education: Graduation from high school or possession of a high school equivalency certificate.
Experience: Two (2) years’ experience in general services functions, office administration activities or in the receiving, storing, issuance, purchase or requisition of equipment, materials, and parts and supplies. *One (1) year of experience working in a mailroom environment.
