General Summary

SUMMARY:
This position serves as the lead employee in the mailroom and provides mailroom support services for Highline College. This position is required to interpret department and institutional rules and regulations concerning mail operations, resolve complex customer problems, recommend cost effective mailing methods, and address other special or complex mailing requirements and needs.
This position is a classified non- represented full-time position, which is eligible for overtime. Schedule: Monday - Friday, 8:00AM - 5:00PM.
Salary Information:
The above salary range reflects the starting step of Range 36 (Step C) and ending step (Step M) salary for this classified position and includes a 5% King County compensation provision. As a new classified employee, based on annual increments, it will take 5 years to reach Step L on the salary schedule, 11 years to reach step M on the salary schedule. This does not reflect any contractual changes; legislative mandated salary increases or Cost of Living Increases (COLA's) that may be approved in the future.
Essential Tasks
Under the direction of the Administrative Service Manager, this position will:
  • Regularly assigns, instructs and checks the work of lower-level Mail Room staff and assures mail quality control standards are met;
  • Schedules and organizes work for mailing services personnel; assigns delivery routes;
  • Oversees mail routes and delivery stops and recommends route changes;
  • Operates, maintains, and troubleshoots high volume Mail Processing machine and addressing systems;
  • Determines most cost effective methods for sending mail and packages and acts as organizational subject matter expert;
  • Delivers, collects and processes mail and loads and unloads vehicles;
  • Maintains production records; produces periodic reports; generates and maintains balances in prepaid mail accounts, tracking chargebacks and mail volumes; and maintains college's mail delivery lists using Microsoft Office;
  • Processes packages (FedEx, UPS, DHL, USPS, etc.) mailings including filling out customs forms for international shipping;
  • Updates mail equipment hardware/software per internal guidelines;
  • Delivers library, building and office supplies, laboratory specimens, audio-visual equipment, tapes, books, U.S. and campus mail, and motor pool vehicles;
  • Provides for occasional coverage for the shipping/receiving area; including loading and unloading trucks, verification of goods and logging deliveries as needed;
  • May make daily deliveries and pickups to off-site locations;
  • Provides feedback to the Administrative Services Manager on other employees' performance, making suggestions for performance management, promotion, and new hires.

    • Mail handling, sorting and delivery techniques; processing shipments such as FedEx and UPS, including international;
    • Operation of delivery van, passenger vehicles, electric carts and fork lifts; State motor vehicle laws; and rules pertaining to State vehicles and related equipment.
Ability to:
  • Provide customer service by communicating clearly and effectively, verbally and in writing;
  • Work independently to solve/resolve problems;
  • Assess priorities and prioritize responsibilities and projects accordingly;
  • Proficiently use Microsoft Office, including Excel spreadsheets and Outlook;
  • Safely operate electric carts on campus pathways;
  • Physically handle, sort, bundle, and deliver mail, parcels and packages which may involve lifting (up to 75 lbs.);
  • Stand, walking and climbing stairs up to 4 hours per day;
  • Operate vehicles used in this employment; use judgment in safeguarding the transport and delivery of valuables;
  • Maintain confidential, courteous and effective relationship with mail service users and the general public;
  • Follows established Safety procedures.
Qualifications
MINIMUM QUALIFICATIONS:
  • High school graduation or equivalent; AND
  • One year experience leading mailroom activities; AND
  • Two years of work experience rating, sorting, distributing and processing mail.
