PRIMARY OBJECTIVE:
The Mail & Print Services Coordinator manages the campus mail operations. The coordinator supervises operations for campus printing requests for basic printed materials and processing of bulk standard mail tasks. The coordinator will supervise a team of student staff and two full time employees to accomplish the required tasks. Perform a variety of administrative support, record-keeping, organizational, and customer-service tasks for the Mail & Print Services team. Requires a commitment to excellent customer service, exceptional organization skills to oversee Mail & Print Services operations and to supervise, schedule and build relationships with staff.
JOB RESPONSIBILITIES:
  1. Oversee the general operation of Mail & Print Services operations to ensure timely, accurate delivery of mail, packages and creation and delivery of internally printed materials.
  2. Scheduling, training and supervision of staff.
  3. Responsible for the sorting and distribution of mail and packages in adherence to proper size, weight, packaging, postage and other postal requirements.
  4. Develop and implement mail services policies and procedures in accordance with postal regulations and industry standards.
  5. Maintain an effective working relationship with the Appleton office of the U.S. Postal Service, UPS, FedEx and the Appleton Amazon Distribution Center.
  6. Build an effective working relationship with campus departments to support their needs for mail and Print Services. Work closely with the Technology and Print Service Manager to ensure that in house print jobs are completed accurately and meet schedule requirements.
  7. Assist Mail & Print Services staff with complex mailings and package shipments.
  8. Coordinate mail and package operations with outside vendors (UMS, UPS, FedEx, etc.).
  9. Keeps records of daily postage expenditures. Reconcile retail transactions.
  10. Oversee the service window, retail mail operations and print production teams.
  11. Work closely all involved to ensure accurate and efficient processing of large standard mail jobs.
  12. Assume mail courier responsibilities in the absence of the Mail Services Courier.
  13. Perform other duties and projects as assigned.

KNOWLEDGE AND SKILLS REQUIRED:
  1. Ability to work independently and effectively with others.
  2. Proven customer services experience in a professional or retail environment.
  3. Experience supervising staff.
  4. Detail-oriented with strong organizational and time management skills.
  5. Experience operating postal equipment including scales and a variety of postage and shipping software/services preferred.
  6. Experience with standard office printing equipment.
  7. Proficient with Microsoft Word and Excel.

EMPLOYMENT REQUIREMENTS:
  1. Must possess a valid driver license with ability to meet University driving standards.
  2. Must have successful completion of criminal/driving background check.
  3. Must be able to (pre-employment physical required):
    1. push and pull equipment cart with up to 100 lbs. of force (this is different than the amount of weight in the cart).
    2. lift and carry up to 50 lbs
    3. able to lift up to 25 lbs. to 70" shelf
    4. regular bending, stooping, walking and standing for long periods of time.
