Position Summary
This recruitment will be used to fill one part-time (a maximum of 24 hours per week) Library Administrative Assistant position for the Valley Library at Oregon State University (OSU).
At the Oregon State University Libraries and Press, we are driven to create services and spaces that help students, faculty and staff across all of OSU's units and colleges achieve these goals. We occupy a unique place in the university that allows us to reach across disciplinary boundaries and organizational structures.
We are seeking a student worker to join the Valley Library's Admin department to perform a variety of clerical duties within the library which vary in size and complexity.
Position Duties
In this position, you will:
  • Manage correspondence to and from the library
  • Assist with events and navigating various catering systems
  • Organize files and maintain proper naming conventions
  • Maintain and update inventories
  • Create, update and maintain documentation.
  • Run errands around campus, such as picking up items, delivering mail, or putting up/taking down flyers
  • Order supplies and maintain stock level
  • Participate in team meetings
  • Digitize and copy documents

As skills develop over time, additional responsibilities may include:
  • Manage and organize confidential files
  • Update Org charts, and make changes to the library website
  • Work on large-scale filing projects over multiple weeks
  • Opportunities to cross-train in other departments

Minimum Qualifications

  • Must be academically enrolled in a high school, community college, or university and pursuing a program or course of study
  • Must meet Academic Standing Requirements; students on academic suspension are not eligible for employment
  • Must meet the applicable minimal enrollment standard
    • High School student: Regularly enrolled in a high school or participating in a home-schooling program
    • Undergraduate and post-baccalaureate student: 6 credit hours per term
    • Undergraduate international student: 12 credit hours per term*
    • Graduate student officially admitted to Graduate School: 5 credit hours per term
    • Graduate international student officially admitted to Graduate School: 9 credit hours per term*

*International students may be allowed to carry fewer hours than specified above and still be considered "full-time" by the United States Citizenship and Immigration Services (USCIS). A reduced course load is approved by the Office of International Services (OIS), and must be provided to the Student Employment Center.
Additional Required Qualifications
  • Experience with administrative tasks such as formal email correspondence, working with filing systems, data entry, note-taking, scheduling, and inventories.
  • Familiarity with Microsoft 365 (Outlook, Word, Excel, Power Point, One Drive) and Google Suite.
  • Ability to work independently
  • Initiative to start new projects with limited supervision
  • Organized with strong attention to detail.

  • Demonstrated experience working with deadlines
  • Experience working with confidential information
  • A demonstrable commitment to promoting and enhancing diversity

Working Conditions / Work Schedule
  • Expected schedule will be within the hours of M-F, 8-5 with some flexibility as needed.
  • Hire will work a minimum of 10 hours per week.
