Job description

The City of Redmond, WA, is seeking a Legislative Administrative Assistant for a fast-paced, executive environment to support the City Council and to act as the Volunteer Coordinator. The right candidate will serve as an analyst on the evaluation of City programs, policies, and operations. The Executive Analyst will provide technical and complex administrative support to City Council, the Executive Department and the Mayor's Office. Your duties will include coordinating meetings and calendars, supporting complex projects and programs, and providing exceptional, high-level, customer service. The right candidate will perform a wide variety of tasks that require initiative, independent judgment, and a working knowledge of the City-wide organization, policies, and programs. This position frequently handles confidential, sensitive information and must use high degree of discretion.

The Executive Analyst is distinguished from other administrative positions in that the job requires the ability to work on more complex and independent assignments that require interacting with City Council, staff, community leaders, regional elected officials, and community members. The work requires knowledge of City activities, programs, and services, as well as a strong attention to detail.   • Coordinate volunteer requests, maintain detailed volunteer database, including hours donated and program assignments; review and match volunteers with program and staff needs.
  • Write, edit, proof executive communications, policies, reports, and cross-department notifications.
  • Attend scheduled City Council Committee of the Whole, business and study session meetings, staff and council meetings, and manage the agendas for these meetings.
  • Prepare information necessary for assigned Council, legislative and departmental projects, including researching, collecting, analyzing, and compiling data and information; prepare reports and present information to a variety of audiences.
  • Independently plan and coordinate legislative functions and services; provides administrative management of sensitive and confidential issues.
  • Assist the Chief Policy Advisor during Legislative Session as needed
  • Perform policy research and analyze legislation on behalf of City Councilmembers.
  • Compose and prepare a variety of correspondence, reports, and other materials. Review documents and communications for content and accuracy.
  • Manage schedules and calendars (ensuring Washington OPMA regulations are met), organize meetings, and coordinate City Council and staff attendance at various meetings, events, and conferences. Coordinate travel arrangements.
  • Serve as a liaison between the City, the community, staff, volunteers, and other agencies; manage sensitive, confidential matters.
  • Provide excellent customer service, assist with administrative tasks, problem solve, disseminate information accurately and efficiently, prepare and distribute reports and memos.
  • Create, update, and maintain routine and moderately complex spreadsheets, documents, invoices, expenditures, requisitions, and agreements.
  • Assists in the preparation of Council budget, monitors program revenues and expenditures.

Physical Demands
Work is predominately performed indoors in an office environment. Work may require movement to other locations for meetings and may be required to attend evening meetings. May occasionally be required to lift boxes or files, usually not exceeding 30 pounds. May be assigned to support critical City priorities during extreme weather and/or emergency situations.

  • Seven years of high-level administrative support experience, including two years of executive level support.
  • Bachelor's degree preferred;
  • Or equivalent combination of education, experience and training that provides the required knowledge, skills, and abilities.
  • Public sector experience preferred.
Licenses and certificates:
  • Valid Washington State driver's license may be required.
